You own the administrative and digital execution layer that keeps a boutique investor relations and media consultancy running smoothly. Your work ensures that internal systems, document versioning, and marketing workflows are disciplined, organized, and delivered to a high professional standard.

This is a structured execution role, not a creative lead position. You operate within defined scopesformatting high-stakes presentations, maintaining SharePoint filing integrity, and repurposing content into digital assets. Best suited for professionals who find genuine satisfaction in systems, have a high bar for attention to detail, and prefer clear operational ownership over ambiguity.

YOU'RE LIKELY A STRONG FIT IF YOU HAVE

  • 3+ years of experience in a VA, EA, or Operations Assistant role supporting international teams (AU, UK, or US preferred).
  • Expert-level proficiency in Microsoft Suite (SharePoint, Word, PowerPoint, and Excel) for professional document formatting.
  • Hands-on experience with project management tools (Monday.com, Asana, or Trello) and digital marketing tools like Canva.
  • Proven exposure to fast-paced professional services environments where accuracy and discretion are non-negotiable.
  • Reliable WFH setup and the ability to work a 6:00 AM3:00 PM shift to align with Australian business hours.

STRONG SIGNALS

  • Experience in Finance, PR, or Investor Relations sectors.
  • Basic video editing skills (CapCut, iMovie, or Opus Clip) for short-form content.
  • Familiarity with CRM systems (HubSpot, Capsule) and email marketing platforms (Mailchimp).

Operations & Workflow Integrity

You own the backend structure of the business, ensuring data and documents are organized and accessible.

  • Maintain structured SharePoint filing systems and version control
  • Manage internal workflow boards in Monday.com to track task completion
  • Execute light finance and recruitment administration tasks

Digital Marketing Execution You translate existing strategies into tangible digital assets across multiple platforms.

  • Create visual assets in Canva using established brand templates
  • Repurpose long-form content into carousels, quote tiles, and video clips
  • Schedule and publish content across LinkedIn, X, and YouTube

Document & Presentation Quality You ensure all outward-facing materials meet a high bar for professionalism and accuracy.

  • Format complex Microsoft Word and PowerPoint documents for clients
  • Prepare meeting pre-reading packs and capture actionable items
  • Maintain organized libraries of marketing templates and images
