About the Opportunity
An established and growing organization is seeking a highly organized and resourceful professional to take on a combined Operations and Executive Support function. This role will work closely with senior leadership to enhance internal systems, strengthen day-to-day operations, and ensure projects and administrative priorities move forward efficiently.
This position requires someone who can operate independently, think ahead, and bring structure to a fast-paced environment while maintaining strong attention to detail.
Core Responsibilities
- Coordinate complex schedules, manage communications, and oversee administrative priorities for senior leaders
- Prepare meeting briefs, capture key takeaways, and ensure follow-through on action items
- Maintain organized digital files, internal documentation, and CRM accuracy
- Filter incoming requests and communications, addressing matters proactively when appropriate
- Assist with onboarding coordination, system access, and secure handling of sensitive company information
- Review existing workflows and introduce improvements to enhance efficiency and accountability
- Develop and maintain clear documentation and structured procedures to support operational consistency
- Facilitate communication between leadership, team members, and external partners to ensure alignment and timely execution
- Monitor productivity metrics and adherence to internal processes
- Conduct routine process reviews and recommend adjustments to improve performance
- Provide administrative and coordination support across active projects using industry-related software tools
- Support procurement coordination, system data updates, and documentation accuracy
- Act as a central contact for service requests and vendor scheduling
- Assist with project-related financial tracking, including expense monitoring, billing coordination, and payment follow-ups
Qualifications & Experience
Required
- At least 23 years of experience in operations and/or executive support within a construction-related environment
- Strong ability to manage competing priorities with minimal supervision
- Familiarity with US construction workflows, terminology, and project coordination tools is required
- Excellent written and verbal English communication skills
- Highly detail-oriented, organized, and comfortable in a dynamic setting
- Experience creating, refining, and maintaining structured processes and documentation
- Broader exposure to construction operations and understanding of project lifecycles
- Background in workflow optimization and improving operational efficiency through documentation and systems
- Proven experience using Buildertrend and QuickBooks required
- Hands-on experience in the U.S. residential construction industry, with an understanding of construction processes and terminology
