Designation: Off-Boarding Officer

Office Location: UB Plaza - 14F Pasig (Headquarters)

Position Description

Inquiry Management and Resolution

  • Provide feedback to separated/ retired employees inquiries and resolve them within defined turnaround times.
  • Recommend programs to improve inquiry management and resolutions related to off-boarding.
  • Update the separated/ retired employees on the status of the clearance and schedule of release of last pay.

Service Delivery and Performance

  • Initiate notice to clearing units on the processing of clearances.
  • Compute and process the payment salary and benefits due the separated/ retired employees (i.e. regular employees, project hire, etc.).
  • Prepare and route documents related to the off
  • boarding process (i.e. Summary sheets, Employee Clearance, etc.) Summary sheets, Quitclaim, Employee clearance certificate, Certificate withholding Tax on Compensation (BIR Form 2316), Accounting entries, Request for Payment, Retirement Memo (for retired employees)
  • Discuss and release the separation pay of the employee.
  • Submit separation status summary report on a monthly basis.
  • Monitor and ensure that all service delivery is within established SLAs.
  • Coordinate with Payroll and Benefits team on the salary and benefits computation of separated/ retired employees.
  • Update team dashboard on daily/ weekly/ monthly deliverables during the regular Team Meetings/ Operational Reviews.
  • Continuously review and innovate HR Services processes and programs.
  • Participate in special projects and initiatives assigned.

Audit, Risk and Compliance

  • Monitor and ensure compliance to government, legal and regulatory agencies.
  • Prepare documents and requirements related to BSP and Internal audit during audit activities.
  • Identify, mitigate and monitor risk related to HRS.
  • Apply consistent policies and guidelines.

Primary Responsibilities

  • Deliver end-to-end off-boarding process seamlessly and timely to enhance employee journey of separated /retired employees.
  • Ensure accurate separation and retirement pay computation.
  • Serve as the employee point of contact for off-boarding related concerns and resolve inquiries within specified turn-around time.
  • Implement off-boarding process in adherence to Bank policies, metrics and Service Level Agreements (SLAs).
  • Perform other duties and responsibilities that may be assigned by the line manager from time to time.

Qualifications

  • Experience 0 to 2 years, preferably with accounting background
