What are we looking for
- 2-3 years of experience as an NDIS Virtual Assistant.
- Strong competency using ShiftCare software. (ESSENTIAL)
- Solid understanding of NDIS funding and compliance requirements.
- Knowledge of SCHADS Award rates and NDIS rostering rules.
- Excellent written and verbal English communication skills.
- Highly organised with strong attention to detail.
- Ability to work independently with minimal supervision.
What will you do
- Administer and maintain the ShiftCare platform, including system setup, data entry, and onboarding of new clients and staff.
- Ensure client and staff records are accurate, current, and compliant.
- Create, manage, and update staff rosters and client shifts in ShiftCare.
- Match support workers to clients based on skills, availability, and location.
- Manage shift changes, cancellations, and urgent replacements.
- Maintain compliant client files, ensuring Service Agreements and documentation are current.
- Ensure staff compliance documents (NDIS Worker Screening, First Aid, CPR, etc.) are up to date.
- Track certification expiry dates in line with NDIS requirements.
- Generate accurate NDIS invoices based on logged support hours
- Ensure billable hours are correctly linked to NDIS funding lines.
- Reconcile shift logs and timesheets to ensure accurate billing.
- Update client care plans, goals, and notes within ShiftCare.
- Monitor staff check-ins and check-outs, following up on missed notes or documentation.
- Liaise with support workers, clients, families, and prospective clients via phone and email.
