Job Summary

The Music School Program Coordinator (Private Lessons) provides administrative and operational support for CSMA's private lesson program. Serving a large community of dedicated music students and families, this role focuses on facilitating student enrollment and ensuring a high-quality experience for both families and faculty.

Reporting to the Music School Director, this position also works in coordination with the Music Classes & Faculty Supervisor to handle faculty needs and logistics. This is a key support role that requires high interpersonal resilience and the ability to provide professional support to diverse and artist faculty.

Primary Duties And Responsibilities

  • Enrollment Coordination: Actively drive the enrollment process by managing new inquiries, conducting follow-up communication via phone and email, and navigating registration software. The priority in this operational area is to provide the level of follow-through necessary to maximize student enrollment and retention.
  • Student Lifecycle Support: Coordinate the administrative logistics of trial lessons, teacher transfers, make-ups, and withdrawals, collaborating closely with faculty to ensure accurate record-keeping and process completion.
  • Faculty Assistance: Work alongside the Music Classes & Faculty Supervisor to help coordinate faculty schedules and room assignments. Act as a reliable resource for teachers, providing daily support such as printing and clarifying school policies or procedures.
  • Customer Relations: Serve as a front-end representative, welcoming families and delivering high-touch customer service to ensure a positive and personable experience for students and parents.
  • Professional Composure: Maintain a warm and helpful demeanor while supporting faculty, parents, and students. This role requires the ability to remain objective and professional when navigating interactions with assertive personalities, managing family concerns, or addressing faculty needs under pressure.
  • Student Services Collaboration: Partner with the Student Services team as a key collaborator to ensure student data is accurate and that families experience a smooth transition from inquiry to active enrollment.
  • Recital Teamwork: Contribute to the Music School team's efforts in preparing student recitals. This includes direct involvement with communications, scheduling, program creation, and providing in-person support during events to ensure they run smoothly.
  • Departmental Assistance: Provide occasional administrative support to cross-program areas and events, including the Music Classes program, as requested.

Skills, Qualifications & Experience

  • Proactive, detail-oriented approach to administrative tasks with a focus on getting students started and keeping them enrolled.
  • Exceptional professional maturity; able to stay calm and helpful when dealing with high-pressure situations.
  • Proven expertise in Google Workspace (Gmail, Calendar, Sites, and Sheets)
  • Strong ability to learn and integrate new registration software, online databases, and collaborative documentation tools into daily operations.
  • Fluent background in music education and advanced instrumental study to accurately assess student needs, discuss technical levels with families, and ensure appropriate teacher-student matching.
  • Prior experience in program operations and customer service is highly preferred.

Schedule

  • This is an on-site position. Monday-Friday: 3:30-8:30 PM
  • Occasional weekend availability necessary to support recitals and special events.

Physical Demands

  • Occasionally required to sit; climb or balance; and stoop, kneel, crouch or crawl.
  • Frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds.
  • Frequently required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms.
