Qualifications
Must-Haves:
- Strong Clinical Foundation Prior nursing education or hands-on experience as a high-level Medical Assistant in a clinical setting
- Functional & Integrative Health Literacy Comfortable supporting care related to functional medicine, integrative health, and women's hormone care (BHRT experience strongly preferred)
- Researcher Mindset Skilled at reviewing patient histories, labs, prior visits, and communications to prepare a complete clinical picture for providers
- Predictive & Proactive Thinking Able to anticipate missing labs, documentation gaps, or care needs before scheduled appointments
Responsibilities of the Medical Virtual Assistant:
Your responsibilities include:
Patient Re-Engagement and Scheduling
- Proactively identify and contact patients who require follow-up appointments, treatment plan adjustments, or re-engagement in care
- Manage and optimize patient scheduling using Google Calendar, ORCHID (DaySmart) Spa Software, and CERBO EHR, ensuring accurate and timely appointment confirmations
- Coordinate with patients to address scheduling conflicts and ensure seamless appointment flow
Electronic Health Record (EHR) Management
- Maintain and update patient records in CERBO EHR and Brite Hormone Prescribing, ensuring accuracy and completeness
- Process and manage patient communications, including emails and secure messages, within the EHR system
- Generate and distribute patient-related documents, reports, and summaries as needed
Administrative Support
- Manage and organize internal digital files and documents using Google Drive
- Assist in developing and implementing standard operating procedures to improve administrative efficiency
- Monitor and manage team email communications using Google Email, prioritizing and responding to inquiries promptly
- Coordinate with the Health Coach to ensure patients are receiving the correct follow-up information
- Coordinate with the Nurse Practitioner to ensure they have the proper information for each patient
Operational Improvement
- Identify and recommend process improvements to enhance patient care coordination and operational efficiency
- Contribute to the development and implementation of new workflows and technologies
POD Team Collaboration
- Participate in regular team meetings to discuss patient care, operational updates, and process improvements.
- Communicate effectively with the Patient Care Coordinator, Health Coach, and Nurse Practitioner to ensure seamless patient care coordination
- Foster a collaborative and supportive team environment
