Proactively source and track tenders through PhilGEPS, other official procurement portals, bidding boards, public announcements, and strategic networking
Submit weekly PhilGEPS monitoring reports with a clear status update on each opportunity, including deadlines, eligibility requirements, and recommended next actions.
Conduct preliminary compliance checks and coordinate internally to support go/no-go decisions.
Maintain a continuously updated database of leads, tender notices, bid outcomes, and agency contacts.
Product Knowledge
Maintain up-to-date knowledge of product specifications, industry trends, and competitor offerings.
Possess at least basic knowledge of vaccines and consumables product categories to ensure accurate representation and client discussions.
Bid Managerment
Conduct a comprehensive review of technical specifications and bidding documents posted in PhilGEPS or provided by the procuring entity.
Attend all relevant Pre-Bid Conferences for the assigned projects, when required.
Submit requests for clarification within the prescribed timeframe, using formal communication channels.
Monitor Bid Bulletins and Notices to ensure awareness of any changes in schedules, requirements, or terms.
Perform bid compliance checks using a customized internal checklist to ensure full adherence to requirements.
Prepare and thoroughly review bid proposals, ensuring accuracy and compliance to prevent disqualification.
Management of Projects, Delivery, & Collection
Ensure on-time submission of the Performance Bond.
Ensure regular updates to the monitoring system
Monitor inventory and delivery status of items.
Coordinate and secure issuance of extension letters when necessary.
Prepare and provide delivery notifications to the procuring entity.
Forward all collection-related documents to Accounting (A/R) promptly.
Track and monitor the status of collections.
Maintain no penalties and liquidated damages.
Qualification
Graduate of any Bachelors degree program, preferably in Business Administration, Marketing, Engineering, or other related fields.
Excellent communication skills (both written and verbal), with strong presentation and negotiation abilities.
At least 1 year of relevant experience in the preparation and submission of bidding documents, preferably in government procurement.
Demonstrated ability to identify market growth opportunities and develop new business partnerships.
Strong organizational and multi-tasking skills with high attention to detail and compliance requirements.
Proficient in MS Office applications (Word, Excel, PowerPoint) and familiar with PhilGEPS operations.
