Job Description
- Patient Records and Forms Management: Maintain and update patient records, ensuring accuracy and compliance with relevant regulations, such as the Health
- Insurance Portability and Accountability Act (HIPAA). Create consent forms, intake forms, chart templates and appointment types in Jane. Confirm clients have filled in required forms and send requests for completion to clients as needed
- Scheduling and Appointment Management: Coordinate patient appointments, manage schedules for healthcare providers, and handle rescheduling or cancellations as necessary via email, slack and phone call.
- Insurance Verification: Verify patient insurance information and process claims, ensuring accurate billing and reimbursement.
- Front Desk Reception: Greet patients, answer phone calls, and provide information and assistance to patients and visitors.
- Medical Billing and Coding: Prepare and submit medical bills, ensuring proper coding and documentation for accurate billing and reimbursement.
- Financial Management: Monitor the financial aspects of the healthcare facility, including budgeting, expense tracking, and financial reporting. Pull financial reports from Jane for staff reporting and payroll preparation. Update staff payroll spreadsheets 2x/month based on reports/appointments in Jane.
- Supply and Inventory Management: Maintain and order medical supplies and equipment as needed, ensuring they are readily available for patient care.
- Coordination with Medical Staff: Collaborate with physiotherapists, PTSWs and other healthcare professionals to facilitate the efficient delivery of patient care in email, phone call and slack.
- Compliance and Regulations: Stay up-to-date with healthcare regulations and compliance standards to ensure the facility operates within legal and ethical boundaries.
- Medical Software and Systems: Proficiency in using healthcare management software and electronic health records (EHR) systems including Jane and G Suite.
- Write systems and How to Manuals: As we grow and add new tasks/members to our team, we are always innovating and needing to document our how to systems and manuals.
- Manage and clean up desktop and google folders: We are constantly adding to our resources and systems manuals and from time to time require folder amalgamation and clean up in our shared resources.
- Support in onboarding process of new staff members: Every new staff member is run through a thorough training and onboarding process. This requires support from our admin team the ability to answer questions about booking, billing and charting
Qualifications
- Knowledge of healthcare regulations and compliance
- Experience in Medical Billing and Coding
- Proficiency in using tools and software such as Jane, Google Drive/G-Suite, Slack and
- Notion
- Experience in using Shopify
- Experience in supporting social media and marketing team
Work Location
- Permanent Home based
- Should have a strong internet connection (minimum of 20 MBPS)
- Should have own laptop/pc (minimum of i5 8GB minimum)
Working Schedule
- Full time job / Remote
- Tuesday to Saturday, 7:00 AM - 04:00 PM PH *overlap in PST (flexible)
