Role

The Media Outreach Specialist is responsible for securing high-impact media opportunities, with a primary focus on top-tier podcast placements, by identifying, pitching, and booking clients on platforms that rank within the Top 10% globally. This role manages the entire lifecycle of media engagement, from initial research and relationship building to the technical administration of the booking. The goal is to ensure a seamless experience for both the client and the media host while maintaining a consistent pipeline of high-quality appearances.

Responsibilities

  • Media Profile Management: Create and optimize professional client profiles across various outreach platforms. (Specific focus on Podseeker, PodMatch, and Listen Notes).
  • Strategic Media Pitching: Execute daily pitching to podcasts and media outlets that align with client goals, specifically targeting shows within the top 10% of global rankings.
  • High-Volume Outreach: Manage a high-capacity pipeline with a target of 50+ secured bookings per month, ensuring all follow-ups are conducted on a daily basis.
  • Booking & Admin Management: Handle all administrative logistics of the booking process, including coordinating schedules, managing calendar invites, and ensuring all interview prep materials are delivered to both parties.
  • Relationship Cultivation: Proactively build and leverage long-term relationships with hosts, producers, and media gatekeepers to secure recurring opportunities for the PFG roster.
  • Content Archiving: Craft and archive all pitch documents monthly for leadership review to ensure messaging remains sharp, persuasive, and effective.
  • Process & Reporting: Maintain and update Standard Operating Procedures (SOPs) for the outreach department. Provide daily and weekly performance reports to ensure full transparency on metrics.
  • Team Collaboration: Coordinate closely with the PR team to ensure all media appearances align with broader client campaign timelines and brand narratives.

Results

  • Target Achievement: All client interview goals are met, averaging 5–7 secured placements per client managed monthly.
  • Quality Standard: Successfully secure and schedule bookings on platforms/podcasts ranked in the Top 10% globally (validated via Listen Notes or relevant media metrics).
  • Operational Efficiency: 100% of outreach messages and follow-ups are completed within the designated daily windows.
  • Professional Responsiveness: All host and media communications receive a response within 24 hours.
  • Timeline Adherence: Media opportunities are secured and scheduled within 30 days of the client's subscription period.
  • Documentation: SOPs are fully documented and updated, resulting in zero lost leads or scheduling conflicts.

Requirements

  • Experience: Minimum of 2 years of direct experience in PR outreach, media relations, or high-volume talent booking.
  • Technical Proficiency: Strong ability to navigate media databases and outreach tools. Bonus points for proven experience using PodMatch, Listen Notes, and Podseeker.
  • Administrative Precision: Exceptional attention to detail in managing complex calendars, multiple time zones, and booking logistics.
  • Elite Communication: Superior written and verbal communication skills with the ability to sell a client's story to high-level hosts and producers.
  • Proactive Mindset: A self-starter who thrives on relationship-building and is motivated by hitting high outreach targets.
  • Collaboration: Ability to work seamlessly with supervisors and cross-functional team members to meet deadline-driven goals.
