Marketing / People & Culture Administrator


Location: Manila, Philippines
Shift: Monday - Friday; 7:00am to 4:00pm
Work Arrangement: Onsite

About the role. . .

The Marketing/People & Culture Administrator has responsibility for providing support to clients (internal and external) with the objective of enhancing the client experience.

Key Responsibilities:

Marketing
  • Communications Support
  • Draft internal and external communications for review, including announcements, updates and event communications
  • Prepare communication schedules and content trackers as directed
  • Upload approved content to internal platforms and websites
  • Website & Content Administration
  • Manage website enquiries and escalating to the relevant team (currently done by reception)
  • Upload approved articles and content to the website backend
  • Event & Campaign Support
  • Provide administrative support for internal and external events, including coordination of catering and logistics
  • Assist with event scheduling, calendar management and attendee tracking and post-event reporting
  • Provide ad hoc support for events, including coordination of headshots, photography, or supplier logistics
  • Reporting
  • Maintain marketing trackers, schedules, and activity reports
  • Support the Marketing team with data collation and administrative reporting
People & Culture

Recruitment
  • Assist with end-to-end recruitment administration across multiple roles and service lines
  • Create, post, and update job advertisements across approved platforms as directed
  • Manage job requisitions and candidate pipelines within the recruitment system
  • Screen incoming applications against role criteria and flag suitable candidates for review
  • Coordinate interview scheduling, including calendar management and video-link setup
  • Prepare interview packs, candidate profiles, and shortlisting summaries
  • Draft and send candidate communications including acknowledgements, interview invitations and outcomes using approved templates
  • Initiate pre-employment checks and track completion
Onboarding
  • Prepare and issue onboarding documentation
  • Schedule induction sessions, system training, and first-day meetings as directed
  • Draft and send onboarding communications including welcome posts and first-day instructions
  • Maintain onboarding trackers and provide regular status updates
  • Support probation setup by scheduling review meetings
  • Offboarding:
  • Prepare offboarding communications using approved templates, including acknowledgement of resignation and exit process steps
  • Schedule exit interviews and prepare exit interview documentation
  • General:
  • Draft morning tea notes for review
  • Manage document control for P&C policies, templates and forms
  • Ensure each policy has version tracking
  • Prepare standard P&C reports for review (headcount, turnover, leave usage, onboarding/offboarding)
Qualifications / Skills:
  • Tertiary qualification in Human Resources, Business Administration, Marketing, Communications, or a related discipline or equivalent relevant experience
  • Strong written and verbal communication skills in English
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
  • 2-4 years experience in an administrative, People & Culture, HR, recruitment, or marketing support role
  • Strong administrative and organizational skills with high attention to detail
  • Excellent communication skills and presentation
  • Collaborate and contribute to a positive organizational and team culture
  • Work as part of a team and autonomously when needed
  • Understand and comply with all Office Policies
  • Deal in a friendly, courteous manner with management, staff and clients always
  • Develop open and positive relationships with internal and external stakeholders
