Job Description

Teams Squared : We are a team augmentation company dedicated to connecting exceptional remote talent with global organizations.

We are seeking a highly organized and detail-oriented Legal Administrator to support day-to-day legal and administrative operations. This role involves managing legal documentation, coordinating with clients, and ensuring smooth workflow across legal matters, including handling client communications via phone and email.

Responsibilities

Legal & Administrative Support

  • Prepare, format, and manage legal documents, contracts, and correspondence
  • Maintain and organize legal files, records, and document management systems
  • Assist with drafting basic legal documents and templates
  • Conduct basic legal research where required

Client Communication & Call Handling (VXT)

  • Manage inbound and outbound client calls using VXT or similar systems
  • Ensure all calls, messages, and client queries are followed through promptly
  • Maintain a high standard of client service, ensuring same-day response to all client communications
  • Coordinate call notes, updates, and follow-ups with the legal team
  • Escalate urgent matters to lawyers where required

Client & Workflow Coordination

  • Manage emails, calendars, and meeting coordination
  • Handle client communication, including follow-ups and status updates
  • Track case progress and ensure deadlines are met
  • Liaise with lawyers, clients, and third parties
  • Assist with onboarding new clients and file setup

General Support

  • Perform general administrative tasks to support the legal team
  • Assist with billing coordination, invoicing, and documentation
  • Ensure compliance with internal processes and legal procedures

Requirements

  • 1–3+ years experience in legal administration or similar role
  • Experience handling client calls and communications professionally
  • Strong organizational and multitasking skills
  • Excellent written and verbal communication skills
  • High attention to detail and responsiveness
  • Ability to work independently in a remote environment

Nice to Have

  • Experience with VXT or similar VoIP/call management systems
  • Experience in conveyancing, family law, or immigration law
  • Familiarity with legal/CRM systems (e.g., Clio, LEAP, Smokeball)
  • Exposure to Australian / UK legal processes
