The Admin/Leasing Assistant role will provide administrative support in a well-organized and timely manner.
Key Responsibilities
- Act as first point of contact between prospective and current lease partners and the company.
- Monitor and prepare the following documents (if necessary):
- Lease Offer
- Rental Rate Card
- PDC Schedule
- Contract of Lease
- Compute and collect initial payments such as Security and Utility Deposits, Advance Rental, and Construction Bond.
- Encode contract details and all types of payments in the Billing System and Sage.
- Ensure tenant DST Payment for every contract and secure a copy of proof of payment.
- Maintain up-to-date listing of available properties/units.
- Monitor expiration of all receipts/invoices and process reprinting of new stock; safekeep all used and unused receipts.
- Find new tenants for vacant units and send lease invitations to prospects.
- Conduct ocular visits with prospective tenants.
- Attend to leasing inquiries.
Qualifications
- Bachelor's degree in Business Administration or related field; any 4-year course is acceptable.
- Above average written and verbal communication skills.
- Proficient in professional letter writing.
- Exceptional organizational abilities with attention to detail.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to prioritize tasks, multitask efficiently, and meet deadlines.
- Flexibility to adapt to changing priorities.
- Demonstrated ability to handle sensitive information discreetly.
