Job Description

Schedule: Monday - Friday (6:00 AM - 3:00 PM PHT)

Responsibilities (Information Technology - Primary) Vendor Sourcing & Management

  • Develop sourcing plans for high‑value IT assets, SaaS subscriptions, and other cross‑functional requirements.
  • Lead selection, negotiation, and contracting of high‑value and enterprise‑level suppliers.
  • Establish and maintain the supplier governance framework, including SLAs, KPIs, reviews, and improvement measures.
  • Oversee vendor accreditation and ensure compliance with legal, financial, and regulatory requirements.
  • Resolve escalations involving supplier performance, contracts, or service failures.

Procurement Processing

  • Oversee end‑to‑end procurement operations, ensuring adherence to internal controls and approval workflows.
  • Standardize and optimize RFQ/RFP processes, evaluation methods, and contract award procedures.
  • Review and recommend high‑value purchase orders and contract awards for management approval.
  • Help develop and maintain procurement policies, procedures, and documentation standards aligned with Finance.
  • Coordinate closely with AP team on budgeting needs, payment terms, and procurement reporting requirements.

Asset & Inventory Management

  • Monitor stock levels for major supplies of IT assets ensuring purchasing activities align with operational requirements.
  • Supervise periodic physical inventory audits and ensure all variances are reconciled against both physical counts and Finance system records.
  • Reinforce compliance with Finance‑established asset and inventory control processes within procurement activities.

Strategy

  • Collaborate with various procurement departments as needed.
  • Build procurement capability via training, process improvements, and technology adoption.
  • Develop annual procurement plans aligned with Finance operational objectives.
  • Identify cost‑saving opportunities, process efficiencies, and supplier innovation opportunities.
  • Drive continuous improvement and ensure the function is audit‑

Responsibilities (HMO - Secondary)

Vendor Sourcing & Management

  • Develop sourcing strategies for HMO providers and healthcare-related services.
  • Lead vendor selection, negotiation, contracting, and renewals in coordination with HR.
  • Maintain supplier governance (SLAs, KPIs, performance reviews) and ensure compliance.
  • Manage vendor accreditation and resolve escalations with HMO providers.

Procurement Operations

  • Oversee end-to-end procurement (RFQ/RFP, evaluation, PO issuance, approvals).
  • Standardize procurement processes, policies, and documentation aligned with Finance.
  • Review contracts and recommendations for management approval.
  • Partner with Finance on budgeting, payments, reporting, and HMO billing/renewals.

Administration & Compliance

  • Ensure accuracy and completeness of procurement documentation for audit readiness.
  • Monitor contract terms, renewals, and compliance requirements.
  • Support reporting and cost analysis related to HMO procurement.

Strategy

  • Drive process improvements and procurement efficiencies.
  • Support annual planning, cost optimization, and vendor strategy for HMO services.
  • Ensure procurement activities remain compliant, controlled, and audit-ready.

Requirements

  • Minimum 7+ years experience in IT procurement or supply chain in a high volume business.
  • Strong understanding and background in IT-related fields, including familiarity with hardware specifications, software licensing, IT asset classification, and technology lifecycle management.
  • Exceptional vendor sourcing and negotiation skills, including the ability to research, evaluate, and coordinate with suppliers.
  • Negotiate optimal pricing, contract terms, and service agreements.
  • Strong business sense and basic understanding of contracts.
  • Experience implementing procurement governance frameworks and supplier performance management.
  • Excellent communication, stakeholder management, and problem‑solving skills.
  • Strong analytical skills and experience with procurement software, contract tools, and asset management systems.
  • Bachelor's degree in Logistics, Business Administration, Marketing, or related field a plus.
