The IP Data Analyst I will provide a full service for the trademark prosecution process or maintenance of clients IP rights, using IP systems that have been and may occasionally be deployed. The role-holder will provide full administrative support in processing IP-related correspondence, issuing instructions to correspondent law firms, and fulfilling other duties as required, ensuring the smooth and efficient handling of clients undertaken by the Intellectual Property Support Unit (IPSU).
Main responsibilities:
- Coordinate, analyze, and process incoming correspondence relating to straightforward IP matters received from Baker McKenzie offices, IP clients, and additional global law firms
- Create records and coordinate IP matter work plans to relevant IP attorneys based on new instructions received from IP clients and Baker McKenzie managing offices
- Identify key deadlines and update global records with accurate and consistent data at a given specific trademark stage, either prosecution or renewal
- Docket and review actions (i.e. e-docket) relevant to the client's trademark portfolio management
- Update IP records and process renewal instructions based on agreed procedures and processes
- Assist in communicating via email with internal colleagues and global clients
- Manage own workload by allocating work items based on order of priorities.
- Perform record-auditing of the client's portfolio during intake or when necessary
- Manage all documents received by post, including: Claiming of documents package from the GSM Admin Team, scanning and processing of documents and shipping of documents to clients
- Process billing reference-related requests e.g. matter number creation, matter staffing, matter name change, running of conflict check, etc.
- Participate in the implementation and execution of the agreed initiatives and action items in the business plan and other business improvement programs
- Perform other tasks and activities as may be occasionally assigned by the Management Team or leaders
Skills and experience:
- A bachelor's degree with good academic credentials
- Experience working on IP matters is an advantage, but not required
- Good analytical and comprehension skills
- Good oral and written English communication skills
- Can handle multiple tasks while maintaining great accuracy, consistency, and quality in data entry and administrative work
- Able to prioritize and work independently with limited supervision
- A strong commitment to outstanding client service
- Working outside normal business hours may be necessary
- Team player, with a pleasant and positive approach to a sometimes heavy workload
- Able to establish and maintain an effective working relationship
- Able to use MS Office (Word, Excel, Outlook) and Internet
