About the Job

  • Our client is a lean digital marketing agency focused on SEO, PPC, and WordPress support. We're hiring a Project Manager/Operations Lead to keep client delivery organized, on-track, and moving forward.
  • This role owns day-to-day project operations across multiple client accounts and ensures our internal systems stay clean and reliable.
  • This is an execution and operations role. You'll coordinate timelines, owners, and next steps, support client meeting logistics, and drive follow-through across the team. Strategy and channel recommendations are handled by delivery leads; your role is to make sure work is planned clearly and delivered consistently.

Responsibilities

  • Own project timelines, task flow, and delivery coordination across multiple client accounts
  • Maintain our project management system as the source of truth (owners, due dates, priorities, current status)
  • Coordinate handoffs between internal roles (SEO, paid media, content, technical/WP support)
  • Prepare for client calls: agenda, status checks, open questions, and required links/docs
  • Send post-meeting recaps with decisions, next steps, owners, and deadlines
  • Track client dependencies (approvals, access, content inputs) to prevent delivery stalls
  • Organize and maintain client documentation in Google Drive
  • Create lightweight SOPs/checklists for repeatable workflows
  • Identify repetitive workflows and implement lightweight automations (Zapier/Make) to reduce manual work
  • Support an accountability-driven operating rhythm (weekly priorities, action items, follow-through)

Required Qualifications

  • 3+ years of experience in project management, operations, or delivery coordination
  • Strong proficiency with a modern PM tool (ClickUp, Asana, Monday, Jira, etc.) and the ability to keep it clean and current
  • Working knowledge of Zapier and/or Make, including building and maintaining basic workflows (triggers, actions, filters)
  • Excellent written and spoken English
  • Proven ability to manage multiple concurrent priorities with strong follow-through
  • Comfortable supporting client-facing workflows (scheduling, agendas, recaps, follow-ups)
  • Comfortable working a consistent US-hours schedule long-term
  • Amenable to work nightshift (EST)
  • Amenable to start ASAP

Preferred Qualifications

  • Experience in a digital marketing, SEO, or agency environment
  • Experience documenting and improving operational
  • Familiarity with Databox dashboards
  • High-level CRM experience (workflows/automations)
  • EOS experience (Rocks/priorities, scorecards, weekly cadence)
  • Experience coordinating distributed teams across time zones

  • The PM system is accurate, actively used, and trusted as the source of truth
  • Projects move forward without last-minute scrambling
  • Clients receive consistent agendas, recaps, and clear next steps
  • Dependencies are tracked and resolved quickly
  • Leadership is not pulled into day-to-day delivery to untangle work
