POSITION DESCRIPTION
The Inbound Logistics Coordinator plays a critical role in managing and optimizing the flow of goods from international suppliers to domestic warehouses. This position ensures timely, cost-effective, and compliant importation of products by coordinating with overseas suppliers, freight forwarders, customs brokers, and internal stakeholders. The ideal candidate will have a strong understanding of international shipping regulations, United States and Canada customs laws, Harmonized Tariff Schedule (HTS), and logistics documentation, and will be instrumental in maintaining supply chain efficiency and accuracy.
ROLES & RESPONSIBILITIES
INBOUND LOGISTICS
Coordinate Inbound Shipments:
o Manage inbound shipments from global suppliers, ensuring timely delivery and
compliance with import regulations.
o Track shipments and proactively resolve delays or issues with carriers and brokers.
Customs Compliance & Documentation:
o Ensure all import documentation is accurate and complete, including commercial
invoices, packing lists, and bills of lading.
o Maintain up-to-date knowledge of customs regulations and ensure proper classification
using HS codes.
Work with Freight Forwarders & Brokers:
o Liaise with freight forwarders and customs brokers to facilitate smooth import
processes.
o Negotiate rates and service terms to optimize cost and performance.
Inventory & Warehouse Coordination:
o Communicate with warehouse teams to schedule inbound deliveries and ensure space
availability.
o Reconcile shipment receipts with purchase orders and resolve discrepancies.
Data Entry & System Updates:
o Enter shipment details into ERP or logistics management systems accurately and in a
timely manner.
o Maintain records of all inbound shipments for audit and reporting purposes.
Supplier Communication & Relationship Management:
o Serve as the primary point of contact for overseas suppliers regarding shipment status
and documentation.
o Build strong relationships to improve communication and reliability.
Monitor & Report KPIs:
o Track key performance indicators such as on-time delivery rates, cost per shipment,
and customs clearance times.
o Provide regular reports to management with insights and recommendations.
Budgeting & Cost Control:
o Monitor inbound logistics costs and assist in budget planning.
o Identify cost-saving opportunities through carrier selection, route optimization, and
consolidation.
Regulatory & Safety Compliance:
o Stay informed on international trade laws, US customs laws, import restrictions, and
safety standards.
o Ensure all inbound logistics activities comply with company policies and legal
requirements.
Support Continuous Improvement Initiatives:
o Identify inefficiencies in the inbound logistics process and propose solutions.
o Participate in cross-functional projects to enhance supply chain operations.
SKILLS & EXPERIENCE
1. 3+ years of experience in inbound logistics or international shipping coordination (specifically USA).
2. Strong knowledge of HS codes and customs documentation requirements.
3. Experience working with freight forwarders and customs brokers.
4. Proficiency in logistics software and ERP systems (NetSuite preferred).
5. Excellent organizational and time management skills.
6. Strong communication skills, both written and verbal.
7. Ability to analyze data and generate actionable insights.
8. Detail-oriented with a high level of accuracy in documentation.
9. Understanding of international trade regulations and Incoterms.
10. Ability to work independently and collaboratively in a fast-paced environment.
Candidates must be located in Clark, Pampanga or Metro Manila.
Duty Schedule: 40 Hours per Week, Mondays to Fridays, 8:00AM - 5:00PM EST
