Qualifications:

  • At least 3 years of experience in an HR Generalist role
  • Strong understanding of employment and labor law
  • Proficient in SAP
  • Experience collaborating with global stakeholders is a plus
  • Experience in a shared services environment is an advantage

Goals of this role:

The Administration Partner is responsible for the comprehensive administrative handling of all HR-related processes within one or several business areas. In close cooperation with HR Officers and HR Business Partners, the role ensures a high-quality, efficient, and legally compliant execution of all administrative HR tasks. The Administration Partner acts as a knowledgeable contact person, process optimizer, and trusted advisor within the operational HR environment.

Responsibilities:

  • Own and manage end-to-end HR administrative processes across the employee lifecycle, ensuring accuracy, timeliness, and compliance with internal policies and legal requirements.
  • Handle onboarding and offboarding activities, including contract preparation, amendments, termination documentation, exit interviews, and coordination with internal and external stakeholders.
  • Prepare and maintain legally relevant HR documents such as employment contracts, addendums, warnings, termination and release agreements, and job references.
  • Serve as a primary point of contact for employees, managers, HR colleagues, payroll, and other internal teams on HR-related matters.
  • Maintain and update HR systems, digital personnel files, organizational data, and reports (e.g., SAP, InsideNet/EIAM).
  • Support payroll processes (pre- and post-processing, checks, reporting) across multiple countries, with a focus on France and coordination with international accounting teams.
  • Manage administrative HR topics related to employee life events, including parental leave, sickness, work accidents, vacation entitlements, and special leave.
  • Prepare regular and ad-hoc HR reports, analytics, and compliance documentation (e.g., headcount, probation, temporary contracts, ASR reporting).
  • Contribute to process optimization, standardization, and digitalization initiatives, including system transitions and change or transformation projects.
  • Support organizational development activities such as restructurings, role changes, promotions, and international assignments or expatriations.
  • Monitor legal and regulatory changes and support audits, new entity setups, and integration projects.
  • Provide functional guidance to working students and support cross-functional and international HR initiatives as required.
