DUTIES & RESPONSIBILITIES
- Serve as the main contact for all HR-related queries of the Manila Shared Services Centre (MSSC), including but not limited to local business units.
- Oversee daily HR operations, ensuring timely and accurate execution of all HR processes.
- Maintain up-to-date and confidential employee records (201 files), HR databases, and reports in compliance with data privacy regulations.
- Prepare and issue HR-related documents such as employment contracts, promotion and salary review letters, and certificates of employment.
- Update and maintain organizational chart.
- Monitor and ensure the issuance of employee IDs, building access cards, and business cards.
- Manage the full recruitment process from job posting, sourcing, and interviewing to selection and offer preparation.
- Ensure timely hiring in alignment with manpower requirements.
- Ensure smooth integration of new employees for the onboarding and employee orientation.
- Oversee and ensure the completion of Annual Physical Exam, Makati Health Certificate, BIR Form 2316 and other related requirements in accordance with company and government policies.
- Oversee completion and submission of all payroll-related documents.
- Administer government-mandated benefits (SSS, PhilHealth, Pag-IBIG) and monitor employee salary loans.
- Manage regularization, enrollment, updates, and termination processes for HMO and Life Insurance.
- Handle employee relations matters including grievances, disciplinary actions, and conflict resolution.
- Administer due process for Notice to Explain (NTE), Performance Improvement Plan (PIP), termination and redundancy procedures.
- Support compliance monitoring of Return-to-Office policy adherence.
- Conduct exit interviews and oversee clearance and offboarding documentation.
- Prepare and execute the Final Pay computation for resigned employees, and work closely with Finance to ensure timely payment.
- Prepare, organize, and provide necessary HR documentation and reports in support of Department of Labor and Employment (DOLE) audits and other regulatory requirements.
- Handle and process all HR-related billings and Requests for Payment (RFPs), ensuring accuracy, proper documentation, and timely payments.
- Stay informed about of labor laws and HR regulations in the Philippines to ensure organizational compliance.
- Organize and support company events such as CSR initiatives, team-building activities, and the annual Kick-Off.
- Drive employee engagement initiatives that foster a positive, inclusive, and collaborative workplace culture.
- Promote diversity, equity, and inclusion (DEI) within the organization.
- Perform other ad hoc duties as assigned.
POSITION REQUIREMENTS
- Bachelor's degree in Human Resource Management, Business Administration, or related field.
- Strong knowledge of labor laws, regulations, and employment practices.
- Minimum of 3 years of experience in HR management roles, preferably in a medium to large-sized organization.
- Experience in recruitment is an added advantage, particularly if familiar with recruitment portals and sourcing strategies.
- Excellent communication, interpersonal, and problem-solving skills.
- Ability to work independently and manage multiple tasks with minimal supervision.
- Proficiency in HR software and MS Office applications.
