Key Responsibilities:
Badge Applications & Onboarding
- Manage the full badge application process for new hires across multiple companies.
- Ensure that badge application forms (Adflex/Fin forms) are completed, submitted, and followed up on promptly.
- Organize and upload employee documents to Google Drive and track progress in Monday.com
Employee Change Management
- Assist with processing promotions, offboarding, and certification badges.
- Ensure Employment Hero accounts are set up for new hires and update records accordingly.
Timesheet Approval
- Review and approve timesheets in Employment Hero.
- Identify discrepancies in timesheet submissions and escalate issues as needed.
Settlements Reporting
- Monitor and report sales discrepancies for one-off settlements, identifying any inconsistencies in the sales data submitted by the sales team.
- Provide daily updates on discrepancies to the management team.
Data Entry & Reporting
- Input sales and operational data into tracking systems and spreadsheets.
- Ensure accuracy of sales data and provide insights for daily and weekly reports.
General Admin Support
- Perform general administrative tasks such as document organization, file management, and handling internal communication via Telegram.
Must-Have Qualifications (Self-Check)
- At least 2+ years of experience as an executive or administrative assistant, supporting high-level tasks and managing administrative processes.
- Strong attention to detail and ability to manage multiple tasks independently.
- Experience in managing data entry processes and organizing documents.
- Familiarity with Google Sheets (basic knowledge, including data entry and spreadsheet navigation).
- Comfortable using Monday.com for task management and Google Drive for document storage.
- Experience using Telegram for internal communication.
- Professional English communication (written + spoken) and ability to handle sensitive information with confidentiality.
- Ability to work autonomously with minimal supervision.
- Secure home office with reliable internet.
Nice-to-Have Skills
- Familiarity with Employment Hero or similar HR management platforms.
- Experience in data reporting and basic analysis (sales data tracking).
- Basic understanding of sales or CRM systems (e.g., Monday.com, Google Sheets, or similar tools).
- Ability to spot process inefficiencies and suggest improvements.
