Job Description

A Maritime organization in Cebu City is seeking a Human Resources Assistant to join their dedicated team. This is an exceptional opportunity for you to play a vital role in supporting the HR Manager and ensuring seamless HR and administrative operations across a group of companies. You will be at the heart of employee engagement, recruitment, and office management, making a meaningful impact on both staff experience and organisational efficiency.

    • Assist the HR Manager in sourcing skilled and experienced employees using various methods to maintain a comprehensive pool of candidates for all manpower requirements.
    • Support the end-to-end recruitment process by coordinating communication with candidates, scheduling interviews with relevant parties, and compiling pre-employment requirements for successful applicants.
    • Facilitate the induction process for new employees and arrange feedback sessions after one month to address any issues and share valuable insights.
    • Maintain up-to-date employee files containing all necessary documentation such as CVs, references, work permits, medical certificates, qualifications, contracts, insurance forms, and more.
    • Provide assistance with payroll processing as required to ensure timely and accurate salary administration for all staff members.
    • Help roll out and follow up on performance appraisal processes by ensuring all interviews take place and appraisal forms are completed promptly.
    • Support the maintenance of the company's training matrix and plan by liaising with external training centres or internal trainers to close out outstanding training needs efficiently.
    • Prepare reports related to personnel activities, monitor medical certificate validity, renew insurance policies on time, and manage contract renewals as appropriate.
    • Respond promptly to employee requests regarding HR issues, rules, procedures, rotation schedules, travel arrangements (including flights, hire cars, hotels), visas, expense reports, invoices, sickness absence matters, grievances, disciplinary issues, timesheets, and more.
    • Assist in developing the HR section of the in-house web-based tool by preparing purchase orders when needed and maintaining local office supplies inventory through proactive stock management.
