In conjunction with the Head of HR and Senior HR Specialist, this role strategically aligns HR practices with business goals, fosters employee development, ensure data accuracy and effective stakeholder alignment to drive organisational success and enhance overall workplace culture and productivity.
Responsibilities
- Onboarding and Employee Support
- Oversee the onboarding experience to ensure new hires integrate smoothly and successfully ensuring new hires build connections.
- Coordinate onboarding processes, including preparing employment documents and scheduling orientation sessions and check-ins.
- Ensure new hires receivethe necessary checks, tools,access, and resources to integrate successfully.
- Provide first-line support to employees for HR-related inquiries, escalating complex issues as needed.
- Manage coordination of induction programs
- Coordinate monthly employee check-in meetings.
- Action all workplace checks for Australia and UK operations.
HR Administration
- Maintain accurate employee paperwork and records in HR systems (e.g., Zoho People) and ensure compliance with data privacy regulations.
- Manage the HR inbox to ensure timely and relevant replies to employees on their inquiries and escalation to Senior HR advisor and Head of HR
- Manage HR reporting as required
Recruitment and Talent Acquisition Support
- Coordinate the preparation and distribution of offer letters and employment contracts.
Training and Development Coordination
- Support the Senior HR Advisor on the management and expansion of the company'sLearning Management System (Zoho Learn).
- Collaborate with the HR team to organize leadership and employee training sessions.
Compliance and Risk Management
- Ensure HR documentation and practices complywith local laws and regulations across global regions.
- Track and monitor employee visa statuses, ensuring timely renewals and escalation of expiring cases. Initiate all visas for processing with the relevant authorities.
- Assist with audits and compliance checks as needed.
- Monitor key compliance activities, including probation reviews, and rights to work/ police checks.
- Escalate risks or inconsistencies in documentation and practices to People & Culture leadership for resolution
Systems and Process Improvement
- Maintain and monitor People & Culture systems (Zoho People, Zoho Sign, Zoho Recruit, OneDrive) to ensure accuracy and smooth operation.
- Identify gaps or inconsistencies in People & Culture processes and recommend improvements.
- Support the implementation of new processes, tools, to enhance employee experience and operational efficiency.
Cross-Location Support and Collaboration
- Provide People & Culture support across regions, ensuring alignment between Australia, Asia, and global practices.
- Support the Head of HR in executing the HR Strategy participating in strategic initiatives
Skills & Experience
- Experience in HR roles, with expertise in HR administration.
- Some knowledge of employment laws and regulations across multiple regions, ie Australia, UK, Singapore, Philippines and Malaysia.
- Knowledge ofHR systems, particularly Zoho People and Zoho Learn,or similar platforms.
- Excellent organisational and project management skills.
- Strong interpersonal and communication skills,with the abilityto build relationships at all levels.
- A proactive approach to problem-solving and continuous improvement.
Key Qualifications
- Experience in HR or a related administrative role for a global company.
- Familiarity with HR systems and tools (e.g., Zoho People,Zoho Recruit, or similar platforms).
- Ability to manage multiple tasks and priorities in a fast-paced environment.
- Experience in a global or multi-regional organization.
- A desire to learn and grow within the HR profession is essential.
- Qualifications in HR are highly desirable but not essential
