Job Description

The HR Operations Manager is responsible for overseeing and optimizing core HR operational functions, including HRIS management, employee records administration, and benefits administration, to ensure accurate, compliant, and efficient HR service delivery across a geographically dispersed workforce of approximately 12,000 employees.

This role plays a critical part in supporting business continuity in a fast-paced logistics environment by strengthening HR processes, ensuring data integrity, and enhancing employee experience through streamlined and scalable HR operations.

Key Responsibilities

1. HR Operations Leadership

  • Lead and manage end-to-end HR operational processes across multiple locations and employee populations (corporate office, warehouse, drivers, and branch roles).
  • Establish and continuously improve standardized HR operational frameworks, policies, and procedures.
  • Serve as the subject-matter expert for HR operations-related matters, ensuring consistency and efficiency across sites.
  • Partner with HR Business Partners, Talent Acquisition, Payroll, Legal, and IT to ensure seamless HR service delivery.

2. HRIS Management & Optimization

  • Own the administration, configuration, and continuous enhancement of the HR Information System (HRIS) to support workforce planning, compliance, reporting, and analytics.
  • Ensure data accuracy, integrity, and timely updates across the employee lifecycle (hire, transfer, promotion, separation).
  • Develop and maintain HR dashboards and reports for leadership, including headcount, turnover, and compliance metrics.
  • Train HR users and managers on HRIS functionality and ensure adoption of system best practices.

3. Employee Records Management

  • Oversee the creation, maintenance, and secure storage of employee records (physical and digital) in compliance with data privacy and labor regulations.
  • Ensure appropriate access controls, audit readiness, and records retention policies are consistently applied across all locations.
  • Act as point of contact for audits, inspections, and data requests related to employee records.

4. Benefits Administration

  • Manage the day-to-day administration of employee benefits programs, including health, life, leave, statutory, and company benefits.
  • Coordinate with external benefits providers, brokers, insurers, and government agencies to ensure timely enrollment, claims processing, and issue resolution.
  • Monitor benefits utilization, cost trends, and employee feedback; recommend improvements aligned with business needs and employee value proposition.
  • Ensure benefits programs comply with statutory requirements and company policies.

5. Compliance, Controls & Risk Management

  • Ensure HR operations comply with labor laws, statutory requirements, data privacy regulations, and internal controls.
  • Support internal and external audits related to HRIS data, employee records, and benefits administration.
  • Identify operational risks and implement controls to mitigate data, compliance, and process failures.

6. Continuous Improvement & Service Delivery

  • Identify opportunities to streamline HR processes using automation and technology.
  • Establish service-level standards (SLAs) for HR operations and monitor performance against agreed targets.
  • Use data and metrics to drive decision-making and operational improvements.

Qualifications & Experience

Education

  • Bachelor's degree in Human Resources, Business Administration, Psychology, or related field
  • Master's degree or HR certifications (e.g., CHRP, SHRM-CP/SCP) is an advantage

Experience

  • 812 years of progressive HR experience, with at least 45 years in HR Operations or HR Shared Services
  • Proven experience managing HRIS platforms (e.g., SAP SuccessFactors, Workday, Oracle, or similar)
  • Hands-on experience in benefits administration for large employee populations
  • Strong background in records management and HR compliance
  • Experience supporting multi-site or geographically dispersed organizations, preferably in logistics, manufacturing, or operations-heavy industries
