Job Description

Job Summary: The HR Operations Supervisor is responsible for overseeing end-to-end HR operational excellence while serving as a trusted HR partner to business leaders to ensure smooth execution of benefits administration, compensation, compliance, and employee and labor relations. This role will ensure compliance with local and national regulations and applicable employment laws, while providing guidance to the HR team on policy updates, employee matters, and operational efficiencies.

Job Responsibilities:

  • Act as an HR Operations partner to department heads and people managers, providing guidance on HR policies, processes, and employee matters.
  • Provide insights and recommendations based on HR data, trends, and operational reports.
  • Prepare regular headcount, attrition, and workforce reports for HR leadership and management.
  • Ensures complete processing of end-to-end payroll from timekeeping to bank crediting and collaborates with the Finance Department for payroll related entries and reports
  • Process government remittances, prepare monthly reports and its submission and ensure compliance with Philippine labor laws and statutory remittances (SSS, PhilHealth, Pag-IBIG, BIR).
  • Administer employee benefits including HMO, insurance, leaves, claims, government benefits entitlement such as loans, sickness & maternity benefits and other company benefits.
  • Track benefits enrollment, utilization, and costs and recommend improvements to enhance employee experience and cost efficiency.
  • Support managers in employee relations cases through proper documentation, policy interpretation, and procedural guidance.
  • Draft and facilitate the issuance of HR-related memoranda (e.g., policy reminders, procedural updates, employee notices, disciplinary and administrative memos) in coordination with HR leaders.
  • Ensure timely processing of employee final pay (back pay, pro-rated salary, unused leave conversions, deductions, and clearances) in compliance with labor laws and company policy and facilitate issuance of final pay documents such as quitclaims, certificates of employment, and related employee records.
  • Prepares year-end compliance of the BIR Alphalist and collaborates with HR Manager and Finance Department in the completion of the year-end employee tax annualization.
  • Assist in the development of policies and procedures, ensure consistent implementation and proper documentation across the organization and support policy rollouts through employee communication, briefings, and documentation.
  • Maintain and continuously improve the HR database, ensuring employee records, employment status, compensation, and benefits data are complete, accurate, and up to date.
  • Ensure proper maintenance of employee 201 files in both physical and digital formats.
  • Coordinates with government institutions for any government related benefits, liaises, and processes completion of regulatory bodies requirements for compliance.
  • Supervise HR Operations staff and ensure adherence to service-level and compliance standards.
  • Provides support with the HR team for employee monthly engagement activities.

Requirements:

  • Bachelor's degree in Psychology, Human Resources, Business Administration, or related field required
  • At least 5-6 years experience in Human Resource, with strong exposure to HR operations, compensation & benefits administration.
  • Minimum 3 years in a supervisory or lead role.
  • Strong data management, reporting, and analytical skills.
  • Solid understanding of Philippine labor laws and statutory compliance.
  • Process-driven mindset with experience in automation and system optimization
  • Strong communication and stakeholder management skills.
  • Highly organized with strong attention to detail.
