Job Description

About the Job

This role is designed to provide dedicated, consistent, proactive support for the areas of team member recruitment, payroll processing/ Standard hours are expected to vary based on business needs.

Systems Used

  • Alliance HCM with MyPay app – HRIS & Payroll system
  • Swipeclock with Time Works Plus (TWE) app – timekeeping system
  • Grace Hill Performance HQ – Learning management system (LMS)
  • ShareFile – File storage system

Recruitment

  • Support recruitment administration, including but not limited to posting ads, reviewing resumes, perform screening of candidates and send resume and comments to hiring manager when moving a candidate to the next stage, and send rejection notices as candidates are eliminated

Payroll & Timekeeping Support

  • Administer payroll processing activities in coordination with appropriate internal stakeholders and established payroll processes
  • Responsible for knowing and understanding all company policies/procedures related to payroll
  • Respond to routine team member and manager questions related to payroll
  • Review payroll process with new managers when they are onboarded/promoted
  • Review, monitor, and validate team member timecards via the online timekeeping system
  • Proactively troubleshoot timekeeping issues, missed punches, edits, and approvals
  • Prepare and validate payroll inputs to ensure accuracy and alignment with company policies and practices, including but not limited to time off policies, on-call rules, leave of absences, escalate payroll exceptions, discrepancies, or complex issues to HR Manager as needed
  • Create and review payroll batches for accuracy
  • Maintain the payroll checklist
  • Ensure all reporting is completed for biweekly and weekly payroll cycles
  • Ensure payroll is ready to be submitted by end of day each Monday

Core HR Administration

  • Serve as the primary point of contact for day-to-day support for managers and team members
  • Proactively execute team member lifecycle processes including but not limited to onboarding, payroll status changes, benefits enrollments, and offboarding.
  • Maintain accurate team member records and job data within the HRIS and related systems
  • Ensure timely processing of transactions and changes across systems

HR Systems Administration & Data Management

  • Proactively manage all HR systems
  • Provide system support for team member and manager access, logins, and navigation
  • Coordinate with system vendors and support teams to resolve technical or configuration issues
  • Ensure data accuracy and consistency across all platforms

Team member File Management & Documentation

  • Maintain accurate team member personnel files in the document management system
  • Ensure proper filing of employment documents including offer letters, job changes, disciplinary records, and separation documentation
  • Monitor document completeness and follow up on missing or outdated records
  • Support document retention and confidentiality standards across all team member files

Learning Management & Training Support

  • Manage LMS, including user setup and course assignments
  • Coordinate training enrollments and completion tracking
  • Assist managers and team members with LMS access and troubleshooting
  • Maintain accurate training records and documentation

Benefits & Leave Administration Support

  • Assist team members with benefits enrollment, changes, and general benefits-related questions
  • Support leave administration processes, including intake, tracking documentation, benefits payments, and coordination with vendors
  • Maintain accurate benefits and leave records within HR systems
  • Escalate complex benefits or leave issues to HR Manager as appropriate

Compliance & Documentation

  • Ensure HR documentation is complete, accurate, and properly stored
  • Support compliance-related tasks such as audits, reporting, and document retention
  • Respond to all employment verifications
  • Assist with maintaining and updating legal posters, HR forms, templates, and checklists
  • Flag potential compliance or process gaps to HR Manager
  • Ensure all federal, state, and local laws are adhered to
  • Submit any workers compensation claims to the appropriate contact for processing and follow-up
  • Confirm all team members have completed any assigned HR tasks, such as policy acknowledgments, performance appraisals, and benefits enrollments

Process Improvement & Operational Support

  • Proactively identify opportunities to streamline HR administrative workflows and improve efficiency
  • Document standard operating procedures for all HR processes
  • Support implementation of new tools, system enhancements, or process changes to ensure the HR function is scalable

Team member & Manager Support

  • Respond to escalated HR situations in a timely manner, including but not limited to policy violations, discrimination complaints, compliance issues, and complex or sensitive HR matters
  • Provide guidance on company HR policies, procedures, and administrative practices
  • Ensure confidentiality and professionalism in all HR interactions
  • Follow-up on known team member challenges

Performance Management

  • Assist managers with team member challenges including but not limited to verbal and written coaching, performance improvement plans, performance reviews, and growth plans.

Qualifications

  • 3–5+ years of progressive HR experience, with demonstrated ownership of multiple HR functions
  • Strong working knowledge of employment law, HR compliance, and best practices
  • Excellent written and verbal communication skills in English; able to communicate clearly with employees at all levels
  • High proficiency with computer systems and the ability to quickly learn new platforms; experience with Office 365 required
  • Exceptional organizational skills with the ability to manage competing priorities and deadlines independently
  • High level of discretion and confidentiality when handling sensitive employee information
  • Proven ability to build rapport, de-escalate conflict, and navigate difficult conversations professionally
