We are seeking a proactive and detail-oriented
HR Associate to support daily human resources and administrative functions. The role is responsible for assisting in employee documentation, various admin support, HR records management, onboarding coordination, and health and safety compliance based on the company policies and Philippine labor regulations.
In addition, the position will provide general administrative support to ensure smooth office operations and contribute to an organized and positive workplace environment.
Key Responsibilities:
- Coordinate new hire onboarding, including pre-employment requirements, orientation schedules, documentation, and system enrollment.
- Maintain and update employee 201 files and HR records, ensuring accuracy, organization, and confidentiality.
- Serve as the first point of contact for employee inquiries, providing guidance on HR policies, procedures, and employment-related concerns.
- Process employee data updates and corrections, including coordination with government agencies when required.
- Monitor probationary employees and send regularization reminders and documentation to managers.
- Support employee relations processes, including preparing Notices to Explain (NTE), coordinating administrative hearings, and documenting meeting minutes and notices of decision.
- Manage employee offboarding processes, ensuring resignations, terminations, and non-regularizations are handled in compliance with Philippine labor laws and company policies.
- Assist in HR and administrative compliance, including documentation and coordination related to DOLE, PEZA, and other regulatory requirements.
- Support HR and administrative initiatives, including employee engagement activities, internal communications, and process improvement projects.
- Provide administrative assistance such as coordinating with vendors, assisting with health and safety programs, HMO, preparing employment contracts, company documents, applications, permits, and supporting general HR and admin operations.
- May serve as the company's Safety Officer if qualified.
- Complete ad-hoc tasks as assigned by the Supervisor.
Qualifications:
- Bachelor's Degree in Human Resources, Psychology, Business Administration, or related fields.
- 12 years of experience in HR, recruitment, or administrative roles; fresh graduates with strong potential are also encouraged to apply!
- Working knowledge of local labor laws, HR policies, and onboarding/offboarding processes is an advantage
- Background or training as a Safety Officer 2 (SO2) is a plus, but not required
