Are you passionate about delivering exceptional customer service while supporting operations in a fast-paced construction environment We are seeking a Home-Based Office Admin / Xactimate Specialist to join our team in the roofing industry. This role offers an exciting opportunity to build strong relationships with customers, insurance carriers, subcontractors, and internal teams while managing supplements, reporting, and administrative functions. The ideal candidate is detail-oriented, organized, proactive, and comfortable working within established systems and processes.

WHAT YOU WILL DO

  • Manage day-to-day office administrative operations, ensuring smooth and efficient workflow.
  • Prepare accurate and detailed insurance repair estimates using Xactimate software.
  • Review scopes of work, photos, and documentation to build comprehensive estimates for property insurance claims.
  • Coordinate with project managers, field teams, and internal stakeholders to gather required job information.
  • Communicate directly with homeowners to provide updates, gather details, and address inquiries professionally.
  • Answer incoming calls, route inquiries to appropriate team members, and handle general customer service concerns.
  • Schedule appointments, inspections, and job-related meetings.
  • Prepare job files, maintain organized records, and ensure all documentation is complete and up to date.
  • Assist in submitting estimates and required documents to insurance carriers and adjusters.
  • Support the team with administrative tasks including email correspondence, data entry, and report preparation.
  • Monitor job progress and follow up on pending approvals or required revisions.

WHAT WE LOOK FOR

  • Education: Bachelor's degree in Marketing, Communications, and Business Administration, or any related field.
  • Experience: 1-3 years of experience as an Administrative Assistant, Virtual Assistant, or Office Admin Assistant, or in another relevant administrative role.Experience in the construction or roofing industry is an advantage.
  • Language Proficiency: Strong verbal and written English communication skills.
  • Working Schedule: Ability to work overnight/graveyard shifts (Philippine time) or U.S. operating hours.
  • Technical Skills:
  • Proficiency in Microsoft Office Suite (Excel, Outlook, PowerPoint), SharePoint, and Canva.
  • Xactimate experience in insurance/restoration work.

  • Salary Range: PHP 45,000-55,000

  • Workdays: Monday through Friday (USA)
