Position: Head of Operations and Growth

About Solstice Psychologues

Loneliness is one of the most underrecognized health challenges of our time and it is at the heart of everything Solstice does.

Solstice Psychologues is a French online psychology clinic built around a clear conviction: that rigorous, compassionate psychological care should be accessible to anyone who needs it. We specialize in loneliness, social isolation, relational difficulties, and attachment and we also support people navigating anxiety, depression, trauma, life transitions, and burnout.

Our therapeutic approach is integrative and evidence-based. Our team of licensed clinical psychologists draws on attachment-focused therapy, CBT, EFT, systemic therapy, trauma-informed care, and positive psychology. We work entirely online, in French, English, Portuguese, Spanish, and other languages making quality care available regardless of where someone lives or what language they speak.

Solstice is backed by the Annecy Behavioral Science Lab (ABSL), which leads Europe's scientific response to loneliness and social isolation. That connection is not cosmetic: ABSL's research directly informs how we design our clinical programs and how we approach assessment, using validated questionnaires on loneliness and attachment style. Solstice's guiding principle is captured in our slogan: Cultiver les liens, Inspirer lpanouissement to cultivate human connection and inspire flourishing.

This is not a tagline, but a commitment: to provide care that is both scientifically grounded and deeply humane, and to ensure that no one facing loneliness or relational suffering feels invisible or unsupported.

The Role

This is not a standard support or assistant position. You will be the person who makes Solstice run and grow owning our client acquisition efforts, keeping operations smooth, and ensuring that every person who reaches out to us has a warm, professional experience.

From day one, you will work closely with both co-founders, with significant autonomy and real accountability. You will manage marketing, coordinate clinical team operations, keep our platforms functioning, and if you speak French handle client communications directly.

More importantly: this role is the foundation of a dedicated operations and support team that Solstice will build over time. As the clinic grows, responsibilities will be distributed to new hires and you will transition into leading that team. We are not looking for someone to execute tasks. We are looking for someone who wants to build something and who finds meaning in doing so within a mental health context.

Time zone: We work on Central European Time (CET). We ask for a meaningful daily overlap of at least 45 hours during European business hours for check-ins and real-time coordination.

What You Will Be Responsible For

1. Marketing Your Core Priority

This is where we need your sharpest thinking and most consistent effort. You own client acquisition.

  • Manage and optimize Google Ads campaigns daily; produce structured performance reports with clear, actionable recommendations
  • Research competitor clinics and continuously surface low-budget, realistic acquisition ideas tailored to Solstice's positioning
  • Lead outreach to associations, partner organizations, and professional networks (strategy aligned with co-founders; execution is yours)
  • Research and list Solstice in relevant directories and professional platforms
  • Drive ongoing SEO research and implement improvements on our WordPress site
  • Generate ideas for and support production of blog content and LinkedIn posts (Canva, content formatting, uploads)
  • Keep our LinkedIn page active and growing: strategic following, meaningful engagement, consistent visibility
  • Maintain and optimize presence on Google Business Profile, Pages Jaunes, and similar platforms
  • Support newsletter creation, technical setup, and distribution

2. Client & Customer Service If You Speak French

This section applies to candidates with French language ability. If you speak French (even at an intermediate level), you will take on direct client communications. If you do not speak French, this function will be handled separately and is not part of your scope.

  • Return client calls via Quicktalk (AI-assisted voicemail summaries)
  • Respond to client emails with warmth, clarity, and professionalism our clients are often in vulnerable situations
  • Book sessions in SimplyBook and process reimbursements via Stripe when applicable
  • As the team grows, train and supervise a customer service partner (Morocco-based), then hand over day-to-day client contact

3. Clinical Team Operations

You keep the back office running so our therapists can focus entirely on their clients.

  • Coordinate therapist scheduling and ongoing needs via email
  • Handle monthly closing: generate session summary reports, prepare pre-filled invoices, and send to therapists for confirmation
  • Prepare therapist payment files for co-founder approval; monitor and verify sessions conducted
  • Create intake and feedback questionnaires via Google Forms
  • Coordinate supervision, scheduling, and support logistics for therapist training sessions (scheduling, materials, slides)

4. Technical & Platform Support

  • Handle small fixes and content updates on our WordPress website
  • Adjust settings and configurations in SimplyBook as needed
  • Liaise directly with support teams (Google Ads, SimplyBook, Quicktalk, etc.) when issues arise

What We Are Looking For

Skills & Experience

  • Demonstrated, hands-on experience managing Google Ads campaigns not just oversight, but daily optimization
  • Solid working knowledge of SEO fundamentals and content-driven growth strategies
  • Proficiency with Google Workspace, Canva, and WordPress (basic edits and updates)
  • Comfort with booking and payment platforms, or demonstrable ability to learn tools quickly
  • Clear, professional written and spoken communication in English
  • French language ability: not required. Candidates without French proficiency are fully welcome to apply. That said, intermediate or higher French proficiency is a genuine advantage our clients, partners, and most of our operational context are in France. We will note this clearly in the role.
  • Background in or genuine interest in healthcare, mental health, or human-centred service environments is a plus

  • You think long-term: you want to grow into a leadership role, and you are energized by the idea of building and eventually running a small operational team
