The Graphics Coordinator is responsible for developing, organising, tracking, and assisting with the execution of visual content projects. The coordinator ensures that each project proceeds on schedule, adheres to brand requirements, and reflects the organisation's vision.
What you will do:
- Documentation Creation and Management: Develop, organise, catalogue, and maintain digital assets and their libraries to guarantee easy access and version control. Ensure that all graphic files are properly archived and adhere to standards for file naming, formatting, and usage. This may not be limited to Emergency Evacuation Diagrams and Manuals.
- Project Coordination: Schedule, prioritise, and monitor graphics projects to ensure timely and accurate delivery of assets. Serve as the point of contact between other groups within the department, and other departments regarding graphics needs and project updates. Quality Assurance: Review graphic deliverables for accuracy, consistency, and alignment with brand standards before final approval and distribution. Provide constructive feedback and flag issues as needed to maintain high visual quality.
- Production Support: Assist designers in preparing assets for print, digital, and multimedia platforms. Coordinate with print vendors and other external partners to facilitate production, delivery, and installation of graphic materials.
- Communication: Act as a liaison between creative and non-creative teams, translating project requirements into actionable tasks and conveying feedback in a clear, timely manner.
- Brand Stewardship: Uphold and enforce brand guidelines across all visual materials, helping to create a consistent and recognizable visual identity for the organization.
- Reporting: Compile regular status updates, project summaries, and performance metrics to inform management of progress and highlight opportunities for process improvement.
- Comply with all roles specific SHEQ obligations as detailed in the relevant RACI matrix.
- Adheres to all mandatory commercial and financial project management expectations of business for project administration activities, including confirmation of Purchase Orders and pricing (or other formal client procurement mechanism), and timely completion of timesheets, project tracking data, and other project management data needs, as directed by Project Managers and Coordinators.
- Supports pipeline generation via preparation of simple quotes for existing clients for scope variations and additional routine activities using simple quote template tool. Project Manage (PM) portfolios of one to five sites. Tasks include reviewing and approving invoices, reviewing portfolio compliance, and conducting regular review meetings.

- Bachelor's Degree in graphic design, visual communication, marketing, or a related field. Equivalent professional experience will also be considered.
- Attendance as required at specific technical training courses
- Completion of relevant internal and external HSE training
- WSP WAY Level 1 Training and Project Management Training as required for role
- Client-centricity training (e.g. WSP Introduction to Client Experience)
- Gaining awareness of key external practice areas.
- Technical Proficiency: Familiarity with industry-standard graphic design software, such as CorelDraw (highly desired),
- AutoCAD, Adobe Creative Suite (Photoshop, Illustrator, InDesign),
- Project Management: Strong skills in planning, organization, and multitasking. Working Experience with tools within Microsoft Office like MS Word, MS Excel, MS PowerPoint, MS SharePoint and MS Lists.
- Attention to Detail: Ability to spot inconsistencies, errors, and deviations from brand guidelines in graphic materials.
- Communication: Excellent written and verbal communication skills. Ability to present ideas clearly and provide feedback constructively.
- Time Management: Ability to manage shifting priorities and deadlines while maintaining attention to detail and quality.
- Teamwork: Collaborative, flexible, and supportive approach to working with diverse teams and personalities.
- Problem-Solving: Resourceful and proactive in anticipating issues and finding creative solutions to challenges in the production process.
- Adaptability: Comfortable working in a fast-paced, deadline-driven environment where project scopes and priorities may change rapidly.
