Job Description

Key Responsibilities

  • Handle core virtual assistant functions including data entry, research, document preparation, light graphic formatting, and general administrative coordination.
  • Provide day-to-day administrative support across teams, including managing email correspondence, scheduling, document organization, and task tracking to ensure timely completion of work.
  • Maintain accurate and well-organized digital records, updating databases, spreadsheets, and CRM systems to keep information current and reliable.
  • Support event-related administrative logistics such as registrations, communications, and follow-up coordination.
  • Respond to routine customer service or stakeholder inquiries in a clear, professional, and timely manner.
  • Prepare clean, presentation-ready documents, spreadsheets, presentations, and simple graphics when needed.
  • Conduct basic research and compile concise summaries to support internal decision-making.
  • Track personal workload proactively, surface blockers early, and ensure deadlines and quality standards are consistently met.
  • Demonstrate proactivity and creative problem-solving by identifying efficiency improvements, preventing issues before they arise, and suggesting practical solutions that strengthen team operations.
  • Complete all assigned work with strong attention to detail, organization, and accuracy while maintaining reliable communication with the team.

Requirements

  • Strong written and spoken English communication skills, with the ability to draft clear, professional messages and documentation.
  • Excellent attention to detail, organization, and accuracy in administrative and data-related tasks.
  • Ability to manage multiple priorities, follow structured processes, and consistently meet agreed deadlines.
  • High reliability, accountability, and responsiveness in a remote work environment.
  • Comfort learning new systems, tools, and workflows, with a proactive and solutions-oriented mindset.
  • Demonstrated experience in an administrative, operational, or virtual assistant-type role.
  • Working proficiency with common business software including Google Workspace, Microsoft Office, Slack, and Zoom.

Preferred Skills

  • Experience maintaining and updating CRM systems or structured databases.
  • Familiarity with AirTable or similar relational database tools.
  • Exposure to QuickBooks or comparable accounting software for basic record support.
  • Intermediate spreadsheet skills, including sorting, filtering, formatting, and simple formulas.
  • Basic design or formatting ability using tools such as Canva, Google Slides, or PowerPoint (helpful but not required).
  • Previous experience supporting events, customer communication, or multi-client administrative workflows.
