Responsible for overseeing and managing administrative tasks related to truck fleet operations. The ideal candidate will coordinate maintenance schedules, manage fleet-related documentation, ensure compliance with safety regulations, and support the overall efficiency of the fleet. This role requires strong attention to detail, excellent organizational skills, and a proactive approach to problem-solving.
Key Responsibilities:
Fleet Management Administration:
- Maintain accurate records of fleet vehicles, including ownership, registration, and insurance information.
- Track and update the maintenance schedules of all fleet vehicles, ensuring they are serviced on time.
- Coordinate repairs and inspections with internal and external service providers.
Documentation & Compliance:
- Ensure that all fleet-related documents are organized, up to date, and compliant with company policies and regulatory requirements.
- Assist with audits, ensuring all documentation is available for inspection.
- Ensure that fleet vehicles meet all safety and environmental regulations.
Fleet Reporting & Data Management:
- Prepare and maintain reports related to fleet performance, maintenance, and costs.
- Analyze fleet data to identify trends and recommend process improvements to reduce costs and improve efficiency.
- Provide regular updates to management on fleet status and operational needs.
Fleet Coordination:
- Coordinate the allocation of vehicles within the fleet, ensuring the timely availability of trucks for operations.
- Assist drivers with vehicle-related queries and concerns, coordinating with the maintenance team as needed.
- Communicate with internal teams to ensure smooth operations and resolve any fleet-related issues promptly.
Cost Management:
- Monitor and control fleet-related expenses, such as fuel usage, maintenance, and repair costs.
- Recommend ways to improve cost efficiency within the fleet.
- Assist in the budgeting process for fleet operations and ensure adherence to budget constraints.
Claims Processing:
- Review and process trucking-related claims (e.g., cargo damage, liability, accidents).
- Verify claim documentation, including bills of lading and incident reports.
- Ensure accurate data entry into the claims management system.
Investigation and Analysis:
- Conduct thorough investigations into claims to determine liability and validity.
- Collaborate with internal teams, drivers, and external partners to gather required information.
- Analyze root causes of recurring issues and recommend preventive measures.

QUALIFICATIONS
- College graduate preferably in a program in Logistics/Operations
- At least 3-5 years of working experience in the related field.
- Must be keen in coordinating, scheduling and routing of truck fleet
- Preferably with experience in Logistics/E-Commerce operations
