The Finance Officer will work under the supervision of the CEO. Specifically, the FO is expected to
perform the following:
FINANCIAL COMPLIANCE (INTERNAL AND EXTERNAL)
●Liaise with Banking Partners (maker access), BIR, SEC, Local Government Units to ensure that the
company is updated with changes in policies, processes and complies with deadlines and
requirements to avoid penalties and ensure business efficiencies
●Schedule timely bank reconciliation under the supervision of the Accountant and ensure that all
unreconciled balances are accounted for
▪(1) Purchase VAT Subsidiary Journal
▪(2) Disbursement Ledger
▪(3) Journal & Ledger
▪(4) Subsidiary sales journal
▪(5) Cash receipts book
●Maintain an organized financial database (online) and proper filing of financial documents
(offline)
●Ensure proper recording of expenses in the company's financial software-Quickbooks and BIR
ledger
●Ensure compliance with regulatory requirements, tax laws, and investors and donor (if applicable for grants).
●Maintain and monitor internal control systems to safeguard assets and ensure integrity and
accuracy of financial data
●Safekeep all passwords of important online accounts
●Support internal and external audits, ensuring timely response to audit queries
FINANCIAL PLANNING, BUDGETING AND REPORTING
●Ensure enforcement of Financial SOPs among departments to facilitate proper tagging and
recording of expenses in accordance to internal and external reporting to investors
●Provide direct support to the CEO for all data requirement of funding rounds
●Ensure timely and accurate financial reporting (monthly, quarterly, annually)
●Monitor budget performance and variances, and provide analysis to inform management
decisions
●Update the financial tagging system for new budget lines created
●Facilitate timely outgoing payments (cheques, digital transfers, cash payments) to suppliers and
to billers supported by proper documentation
●Monitor receivables aging table and issue demand letters for the immediate collection of
payments from government clients and institutional partners
●Collection of payments from government clients and institutional partners (travel)
●Generate accurate financial reports on time as requested by the CEO
●Notify immediate supervisor on potential or existing issues on cashflows and fund utilization v
SYSTEMS AND PROCESS IMPROVEMENT
●Contribute to the implementation and improvement of financial systems, tools, and procedures.
●Identify opportunities for automation, process optimization, and cost efficiency.
●Ensure effective documentation and support the annual financial policy review and suggest
processes, systems, software that will contribute to company's growth and to facilitate
efficiencies in financial transactions and ensuring checks and balances in the system with zero
tolerance for any fraudulent activity or behavior
Data Security and Confidentiality
●Implement and monitor data protection policies, ensuring secure access to sensitive data.
●Maintain confidentiality of personal and organizational data in line with data protection
regulations
Requirements:
(Education, Training, & Certification):
●Certified Public Accountant (CPA)
●Bachelor's in Accountancy with at least 3-4 years of relevant work experience
(Skills & Competencies):
●Adv. Knowledge in excel, record keeping, expense tagging, and PH compliances
●Attention to details and Process-oriented
●Outstanding communication, interpersonal and leadership skills
●Excellent organizational and time-management skills
●Proactive problem solver
