Role Overview

Bizjet Law isseekingahighly organized, analytical,and detail-oriented Finance Assistanttosupport theCFO and thefinancial functions of the firm and affiliated companies.This role combines transactional bookkeeping with performance analysis, financial reporting, and strategic support,helping translate numbers into meaningful insights to drive decision-making.

This rolerequiressomeone who is proactive,solution-oriented, and collaborative, with strong problem-solving skills.They mustdemonstratecuriosity about underlying processes, a desire to understand the why behind financial workflows, and the initiative to challenge andoptimizehow things are done.They willleverageAI toolswhilemanagingday-to-day financial tasksto streamline workflows, improve accuracy, and generateactionableinsights from data.Familiarity with modern AI platforms is expected, asthey are integrated into many of our daily financial and operational processes.They must alsothrive in a remote, fast-pacedenvironmentand enjoypartneringclosely with leadership and cross-functional teams.

This is a remote position that requires working during Mountain Time (U.S.).

Core Responsibilities

Bookkeeping& Reconciliations

  • Maintainaccurategeneral ledger entries.
  • Reconcilemonthly bank,credit card, and trust accounttransactions.
  • Proactivelyidentify, resolve,and clearlydocumentandreportany discrepancies, trends, orirregularities to theCFO.

Cash Flow & BankFeeds

  • Monitor andmaintainaccuratebank feeds.
  • Proactively trackdailycashactivity and support the preparation of rolling cash flow forecasts.
  • Assistwith short-term liquidity planning and analysis, offering observations and potential solutions.

Accounts Payable & Payroll Support

  • Process vendor invoices,maintainaccurateA/P records, and reconcile statements.
  • Ensuretimelypaymentsin accordance withinternal controls.
  • Support payroll processing, including validation of hours and proper application of U.S. payroll tax rules and deadlines (knowledge of U.S. payroll tax compliance is essential).
  • Coordinate with payroll vendors or systems, with the potential to take full responsibility for payroll administration over time as skills and reliability aredemonstrated.

FinancialReporting & Monthly Close Support

  • Organize financial data and supporting documents for monthly close.
  • Assistwith internal financial reports, summaries, and executive dashboardswhile suggesting improvementstoclarity and usefulness.
  • Ensure compliance with internal controls and reporting standards.

PerformanceAnalysis&KPITracking

  • Assistin tracking financial performance, including budget vs. actual performance,identifyingvariances, root causes, and areas for improvement whileensuring alignment with business goals.
  • AnalyzeKPItrendsandprepare actionableinsightsand suggest optimizationsfor leadership.
  • Maintainand improve internaldashboards(and supporting data sources) to visualize firm performance.

Budget, Forecasting & Modeling

  • Assistin developing,updating,and analyzingquarterly and annual budgets.
  • Support scenario planning and margin analysis.
  • Build andmaintainfinancial models in Excel.

TaxCoordination

  • Review tax return drafts against internal financials for consistency.
  • Assistin managing estimated tax payment schedules and documentation.

Coordinate with external CPAs or tax preparers, as needed.

Process Improvement & Team Support

  • Activelycollaboratewith operations, administrative,and legalteamson finance-related workflows.
  • Propose improvements to systems for tracking, reconciliations, and reportingby critically evaluating current processes and understanding their rationale.
  • Provide financial data and insights forad-hocstrategicprojectswith clear, concisecommunication.
  • Useapproved AI and automation tools to improve efficiency, reduce manual work, and enhance reporting accuracy, while proactivelyidentifyingimprovement opportunities and ensuring secure, compliant use in line with firm policies and data standards.

Qualifications

  • Bachelor's degree in Finance, Accounting, or a related field(or equivalent practical experience).
  • 4+years ofprogressive responsibilityin bookkeeping,financial reporting,payroll support, andaccounts payable(ideally within a law firm orprofessional servicesenvironment)OR demonstrable excellence in these areas with fewer years through strong analytical/problem-solving ability.
  • Experience with U.S. payroll tax compliance and systems.
  • Proficient withQuickBooksOnline (ProAdvisor Certification strongly preferred)
  • Strong background in budgeting, financial analysis, and KPI trackingwith proven ability to turn data into actionable recommendations.
  • Familiarity withtax reporting, tax returnvalidations,and reconciliationpractices.
  • Highlyproactive,detail-orientedand solutions-focused mindsetwith excellent organizational,analyticalandproblem-solvingskills,including a curiosity tounderstand processesand challengeinefficiencies.
  • Strong written and verbal communication skills with the ability to present financial insights effectivelyand collaborate cross-functionally.
  • Ability to work independentlywhile proactively seeking input/alignment when neededand handle multiple tasks in a fast-paced environment.
  • Strong Excel skills(formulas, pivot tables, financial modelingbasics, etc.), andcomfort using AI-integrated features within Excel, Office 365,or othercloud accounting systems.
  • DemonstratedabilityinresponsiblyusingAI tools such as ChatGPT, Microsoft Copilot, or other generative AI platforms to support financial analysis, report generation, or workflow automation.
  • Proficient inMicrosoft Office365Suite (Outlook, Teams, SharePoint, PowerPoint) and project toolslike Asana,Microsoft Planner,etc.
  • Familiarity with Clio andPower BIis aplus butnotrequired.

A stable, high-speed internet connection capable of supporting video conferencing and cloud-based systems isrequired, along with a dedicated, professional workspace and a noise-canceling headset suitable for confidential meetings.Amulti-monitorsetup is preferred but notrequired.
