Roles and Responsibilities:

Accounts Payable

  • Process supplier invoices end-to-end using Hubdoc and Xero
  • Validate invoice data, match to purchase orders, and route for approvals
  • Accurately code and post transactions into the general ledger
  • Manage supplier payment runs (weekly/fortnightly)
  • Maintain supplier records and resolve invoice discrepancies
  • Monitor AP ageing and follow up on outstanding items
  • Support continuous improvement in AP automation and processes

Payroll


  • Manage end-to-end Australian payroll processing using Employment Hero and Xero Payroll
  • Distribute and validate timesheets via WorkflowMax and Employment Hero
  • Maintain employee data, leave balances, and entitlements in Employment Hero
  • Ensure compliance with PAYG, superannuation, STP, and leave entitlements
  • Reconcile payroll data between Employment Hero and Xero
  • Prepare and post payroll journals and support reporting
  • Assist with year-end processes, including STP finalisation
  • Support Workers Compensation and Payroll Tax compliance

Corporate Credit Cards & Expenses


  • Administer corporate card platform (DEXT)
  • Reconcile credit card transactions and ensure accurate coding
  • Follow up on missing receipts and enforce expense policy compliance
  • Investigate and resolve discrepancies

Corporate Travel


  • Process and reconcile travel-related expenses via DEXT and Xero
  • Ensure accurate coding and posting into Xero
  • Assist with system integrations and reconciliation tasks
  • Support process improvements and compliance with travel policies

Month-End & Reporting


  • Assist with month-end close activities including accruals and prepayments
  • Perform payroll, credit card, and balance sheet reconciliations
  • Maintain audit-ready documentation and workpapers
  • Support reporting accuracy and financial data integrity

Data & Systems


  • Support data accuracy across Xero, Employment Hero, and WorkflowMax
  • Assist in report preparation and validation (Power BI exposure desirable)
  • Identify opportunities to improve data structure and reporting efficiency

Controls & Continuous Improvement


  • Ensure compliance with financial controls, policies, and approval processes
  • Maintain data integrity across integrated systems (Xero, Employment Hero, Hubdoc)
  • Identify and implement process improvements and automation
  • Support internal and external audits

Required Experience:

  • At least 35 years of experience in Accounts Payable and Payroll
  • Hands-on experience with Employment Hero and Xero Payroll
  • Experience using Hubdoc or similar document capture tools
  • Strong experience in Australian payroll processing and compliance
  • Experience with reconciliations, journal entries, and month-end processes

Experience Advantage:

  • Exposure to Power BI or reporting tools
  • Experience in a shared services or offshore finance environment
  • Knowledge of Australian payroll compliance (STP, PAYG, Super)
  • Experience with corporate card or expense management platforms
  • Experience working with integrated cloud finance stacks
