Job Description

We are seeking a proactive Finance and Administrative Assistant to join our new and dynamic team in Muntinlupa City, Metro Manila. This position will play a crucial role in driving organizational effectiveness, fostering collaboration, and ensuring successful execution of strategic initiatives. He/she will be responsible for handling the administrative operations of the firm, its clients and its affiliates and will manage all aspects of administrative and support services within the group.

What you'll be doing:

  • Provides a broad range of administrative support functions for management which include coordinating office communications, tracking budgets, purchasing, scheduling, workflow, and processing of office forms.
  • Anticipate the support needs of day-to-day operations department and proactively solve problems and/or independently handle issues as necessary.
  • Monitor and coordinate all programs and activities, providing regular updates to key stakeholders.
  • Coordinates, maintains, and creates various events, schedules, and calendars.
  • Makes travel arrangements and coordinates large group meetings.
  • Plans and coordinates the duties of staff in addition to analyzing complex administrative concerns.
  • Oversee the billing and payment processes of the firm and its affiliates.
  • Help manage the supply chain of the firm and its affiliates.
  • Evaluate suppliers and compare their prices for specific materials with other suppliers.
  • Monitor inventory of office supplies and the purchasing of new material with attention to budgetary constraints.
  • Participate in planning, directing, and coordination of employees of the firm and its affiliates.

What we're looking for:

  • Graduate of any Bachelor's Degree (4-year courses)
  • Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines
  • Excellent communication and interpersonal skills, with the ability to interact effectively with all levels of the organization
  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook)
  • Experience in a fast-paced, dynamic work environment
  • Attention to detail and a proactive, problem-solving mindset
  • Ability to work independently and as part of a team
