Job Purpose:
Responsible for providing administrative and logistical support to the facilities team, ensuring the smooth operation of day-to-day facilities activities. This includes coordinating maintenance, repairs, events set-up, and special projects, as well as managing facilities-related amenities, events, vendors, work orders and purchase request.
Responsibilities:
- Support the Building Manager/Engineer in the day-to-day operations of the Head Quarters.
- Provide assistance in services rendered by the vendors repair/maintenance needs of the facilities
- To provide additional supervision of the housekeeping, security and other facilities service vendors
- Undertake minor MEPF requirements of the facility (minor repairs or quick fixes)
- Inspects facilities for overall condition and cleanliness
- Updating, revising and/or develop forms, reports, and manuals relating to Facility management issues and
- operations
- Performs regular updating vendors and contractor performance
- Liaise with Service Providers, LGUs, and the like
- Assist the Building Manager/Engineer in overseeing day to day running of facilities, in dealing with inquiries
- complaints and requests, and maintaining and updating of records in all database files
- Handle general admin duties such as data entries as well as filing and sorting of documents
- Identifies workspace requirement and allocation and regularly updates workstation layouts and masterplan
- Provide customer service training to service providers.
- Manage contracts for various vendors and suppliers.
- Provide assistance to any work-related needs of the site
Key Qualifications:
- B.S Civil Engineering / Architecture / or equivalent
- At least 2-year experience in similar capacity – Facilities or Property Management of high-rise buildings
- Computer literate and above average oral, written communication and presentation skills
- Adept in planning & strategic execution of multiple task
- Knowledge on lay – out analysis
- Organizational skill and problem solving
