Job Description

Position: Facilities and Administration Associate
Location: Harton Building, Paranaque City
Work setup & shift: Onsite/Shifting

Responsibilities
  • Process and monitor facilities-related tickets and requests, ensuring timely resolution and proper documentation.
  • Maintain and regularly update facilities trackers and reports.
  • Manage inventory and tracking of office and facilities supplies.
  • Record, file, and safeguard all Facilities Team documents and records.
  • Process and document requests for payments, including liquidation, cash advances, and reimbursements.
  • Prepare monthly Facilities reports and summaries for management review.
  • Process gate pass and work permit requests in compliance with site policies.
  • Prepare and submit monthly requests for facilities and office supplies.
  • Assist in creating layout plans for office or site arrangements as required.
  • Support asset management activities, including tracking, tagging, and monitoring of company assets.
  • Coordinate and oversee housekeeping staff and security guards to ensure service quality and compliance.
  • Monitor and maintain site cleanliness, safety, and overall orderliness.
  • Perform other facilities- and administration-related tasks as assigned by the Facilities Site Lead.
Qualifications
  • Bachelor's degree in Business Administration, Facilities Management, or a related field preferred.
  • At least 1-2 years of experience in facilities administration, office administration, or a related role.
  • Knowledge of facilities operations, asset management, and inventory control.
  • Strong organizational skills with attention to detail in documentation and record-keeping.
  • Ability to coordinate with vendors, housekeeping staff, and security personnel.
  • Proficient in MS Office applications (Excel, Word, PowerPoint).
  • Good communication and time management skills.
  • Ability to multitask and work independently with minimal supervision.
