Role Overview
We are seeking a high-performance Executive Assistant with strong financial acumen and advanced organizational capability to support a founder managing 5+ operating companies in the hospitality and related sectors.
This is not a traditional administrative role. The ideal candidate will function as an operational command center building systems, tracking execution, supporting financial modeling, and ensuring accountability across multiple entities.
Core Responsibilities (Priority Ranked)
1. Executive Organization & Systems Management (Primary Priority)
- Build and maintain centralized task and objective tracking across all companies
- Track quarterly goals, KPIs, and weekly deliverables
- Monitor delegated tasks and ensure follow-through
- Prepare weekly executive summaries and meeting agendas
- Create dashboards and structured reporting systems
- Proactively identify bottlenecks and gaps
Required Skills:
- Advanced project management platform proficiency (Notion, ClickUp, Asana, etc.)
- Exceptional organizational discipline
- High initiative and follow-up consistency
2. Financial Tracking & Excel Modeling (Non-Negotiable)
- Maintain weekly sales, cost, and spend tracking
- Support labor %, food cost %, and margin analysis (hospitality focus)
- Build and maintain projection and variance models
- Track company expenses and assist with budgeting
- Support weekly and monthly reporting
Required Skills:
- Advanced Excel (formula-driven modeling, pivot tables, SUMIFS, forecasting tools)
- Strong understanding of margin analysis and financial tracking
- Ability to audit and build spreadsheets from scratch
3. Events, Reservations & Administrative Execution
- Manage private party and reservation inquiries
- Track deposits, confirmations, and follow-ups
- Maintain CRM and database accuracy
- Oversee event-related timelines and logistics
- Draft professional client communications
4. Marketing Operations Support
- Build and manage social media content calendars
- Coordinate asset organization and posting schedules
- Track campaign performance metrics
- Support content execution (not strategy ownership)
Candidate Profile
- Highly organized, detail-oriented, and structured
- Financially literate with strong analytical thinking
- Comfortable managing multiple business units simultaneously
- Proactive, not reactive
- Able to operate in fast-paced, founder-led environments
- High discretion and professionalism
- At least 5 years of Executive VA experience
Preferred Background
- Experience supporting founders or multi-entity executives
- Hospitality or multi-location business experience preferred
- Strong systems-building orientation
- Comfortable managing both high-level tracking and detailed execution
- Strong English proficiency is a must.
Performance Expectation
Within 90 days, this individual should:
- Implement a centralized executive tracking system
- Take full ownership of weekly financial tracking dashboards
- Establish clear reporting cadence across all companies
- Reduce organizational friction for the founder
Compensation and Benefits
- Base Pay: $6/hour
