Job Description

Were looking for a highlevel Executive Virtual Assistant to support the CEO of multiple missiondriven brands. This role requires someone proactive, organized, and confident in handling executivelevel tasks across different companies.

About The CEO

The CEO leads several fastgrowing brands in coaching, personal development, and insurance.

What Youll Do

Scheduling & Calendar Management

  • Manage and maintain the CEOs calendar using Zoho Calendar
  • Coordinate internal and external meetings and appointments
  • Proactively resolve conflicts and prevent double bookings

Email & Communication Management

  • Manage and prioritize the CEOs Zoho Mail inbox
  • Draft and send routine responses on the CEOs behalf
  • Escalate urgent or sensitive matters through Zoho Cliq or direct communication

Contact & Relationship Support

  • Serve as the main point of contact between the CEO and internal/external stakeholders
  • Return missed calls and schedule follow-ups as needed
  • Maintain contact records and notes using Zoho CRM

Project & Task Support

  • Assist with task and project tracking using Zoho Projects and CRM
  • Create and update tasks, monitor deadlines, and support follow-through
  • Coordinate with team members to ensure timely completion of action items

Meeting & FollowUp Support

  • Join key meetings to take notes and track commitments
  • Prepare and share follow-up items and summaries after meetings

Personal Time Coverage

  • Monitor communications during the CEOs time off to protect rest periods
  • Filter non-urgent matters and escalate critical issues only when necessary

Creative & Marketing Support (CEO Projects)

  • Assist with basic landing page updates using Zoho Sites or related tools
  • Support content writing for executive projects and communications
  • Help manage email workflows in Zoho Campaigns and CRM
  • Coordinate creative assets with external designers when needed
  • Track basic campaign performance and prepare reports using Zoho Analytics

Tools You Must Be Comfortable With

You will work across four brands using multiple platforms, especially:

  • Zoho CRM
  • Zoho Mail
  • Zoho Calendar
  • Zoho Projects
  • Zoho Bigin
  • Zoho WorkDrive
  • Zoho Analytics
  • Zoho Campaigns
  • Zoho Sites

Plus some tasks using Google Calendar, Gmail, Loom, and Zoom.

What Were Looking For

  • Highly organized and detailoriented
  • Proven experience as a general Virtual Assistant / Executive Assistant or similar role directly reporting to the CEO / CGO
  • Experience supporting clients from the United States
  • Proficient in using Zoho applications
  • Strong communication and followthrough
  • Able to manage multiple calendars and inboxes
  • Can anticipate needs and solve problems
  • Calm, professional, emotionally mature
