Handle and safeguard confidential documents and communications of the Executive.
Perform administrative functions such as word processing, data entry, copying, and filing.
Manage and maintain the Executives calendar, scheduling meetings and appointments, and preparing necessary materials.
Coordinate the Executives activities and liaise with internal departments and external partners.
Screen and prioritize incoming calls, visitors, correspondence, and reports, alerting the Executive to urgent matters.
Act as the point of contact between the Executive and other departments, transmitting directives and following up on assignments.
Maintain an organized system for managing records, including minutes of meetings, memoranda, and contracts.
Coordinate travel arrangements, including flight bookings and hotel accommodations, and assist with out-of-town events and business planning.
Receive, sort, and distribute business mail, ensuring proper documentation and tracking.
Ensure the efficient operation of office equipment and manage the procurement of office supplies for the Executive.
Prepare and maintain logs of communications, documents, and files handled by the Executive.
Perform additional tasks as assigned by the Executive.
Must possess a Bachelor's Degree in any 4-year course; a business-related course is preferred
New graduates are welcome to apply; with 6 months to 1 year of working experience as an Executive Secretary or Secretary performing clerical functions such as filing, scanning, scheduling appointments, meetings, travel arrangements, and bookings is preferred
