Role Description
We are seeking a highly organized, discreet, and proactive Personal Assistant / Executive Secretary to provide comprehensive administrative and strategic support to the CEO. This role requires exceptional attention to detail, strong communication skills, and the ability to manage multiple priorities in a fast-paced environment. The role requires agility, as the CEO's schedule can change at any time, as well as adaptability, flexibility and confidentiality.
Roles and responsibilities:
1. Executive Support
- Manage CEO's calendar, appointments, and meeting schedules
- Coordinate internal and external meetings, including preparing agendas and materials
- Handle travel arrangements (flights, accommodations, visas, itineraries)
- Draft and respond to emails, letters, and official communications on behalf of the CEO
- Support the CEO in various meetings (Board meetings, investor meetings, internal and external meetings). Prepare and distribute minutes of meetings
- Prepare reports, presentations, and briefing documents
2. Administrative & Office Coordination
- Organize and maintain confidential files and records
- Track key deliverables, deadlines, and follow-ups
- Coordinate with department heads and external stakeholders
- Handle procurement, event planning and executive engagements
3. Strategic & Project Support
- Assist in tracking CEO-level initiatives and strategic priorities
- Conduct basic research and compile data for decision-making
- Follow up with internal teams to ensure action items are completed
- Support special projects as assigned
4. Personal Assistance (if required)
- Manage select personal appointments and schedules
- Assist with personal travel or administrative matters
- Handle confidential personal documentation
- Perform other ad hoc tasks and functions that may be assigned from time to time
Qualifications:
- Bachelor's degree in Business Administration, Office Administration, Communications, or related field
- Experience as Executive Assistant, Personal Assistant, or similar role
- Proficient in Microsoft Office, Google Workspace, Slack, Notion, expense apps and business management apps
- Strong written and verbal communication skills
- Sharp, quick-thinking, and can think several steps ahead
- High level of discretion and integrity
- Presentable and dependable
