I'm hiring an Executive Assistant to work directly with me across 4 companies.
I run a portfolio of businesses spanning digital advertising, SaaS, business funding, and a membership community for entrepreneurs. Combined, that's 50+ employees, hundreds of clients, and a dozen active projects at any given time.
Here's my problem: I'm moving fast across all four and I don't have one person keeping everything connected. Projects lose momentum. Follow-ups slip. Priorities shift and the thread gets lost between companies.
I need someone who becomes my operational backbone — the person who knows where everything stands, what's overdue, what needs my attention, and what doesn't.
**What you'll actually do:**
- Own my calendar, scheduling, and time protection across all 4 companies. If it doesn't need me, it doesn't get to me.
- Track every active project, deliverable, and commitment I've made. Nothing gets lost.
- Prepare me for meetings: context, updates, decisions needed, and follow-ups from last time.
- Follow up with leadership teams across companies when things stall. You're the one asking where does this stand so I don't have to.
- Manage my inbox and communications. Filter, prioritize, flag, and draft responses where appropriate.
- Keep a running dashboard of what's moving, what's stuck, and what needs a decision.
- Coordinate across company leaders, contractors, and external partners on my behalf.
- Handle travel, personal scheduling, and anything that keeps my day running clean.
**What this is NOT:**
This is not a data entry role. This is not answering emails and booking flights. You are the connective tissue between me and four businesses. You need to think, not just execute.
**Who you are:**
- You've supported a founder, CEO, or senior executive before — ideally someone running multiple ventures.
- You're obsessively organized. You don't let things slip. Ever.
- You communicate clearly and directly. No fluff, no over-explaining.
- You're comfortable working across multiple tools (Slack, ClickUp, Google Workspace, Zoom, WhatsApp).
- You take initiative. If something is falling behind, you flag it before anyone asks.
- You can context-switch between companies without losing the thread.
- You understand business at a high enough level to know what matters and what's noise.
- You're available during US Eastern Time working hours with flexibility.

- Full-time contractor (40 hrs/week)
- Fully remote
- Long-term role — this is not a project gig
