Executive Personal Assistant (for Retired Director)
Location: Makati City; Office-based (9:00 AM – 5:00 PM)
Job Summary
The Executive Personal Assistant will provide comprehensive day-to-day support to a retired Director. This role focuses on managing personal and administrative tasks, coordinating with medical professionals, organizing schedules, and ensuring smooth household and office operations. The successful candidate must be tech-savvy, organized, proactive, and able to communicate effectively with internal staff and external contacts.
Key Responsibilities
- Personal Errands: Handle various personal tasks and ensure timely completion of day-to-day needs.
- Medical Coordination: Communicate with doctors secretaries to schedule, confirm, and manage medical appointments.
- Appointment Booking: Book appointments for the employer and coordinate schedules as needed.
- Domestic Staff Coordination:
- Fix and maintain schedules for household staff
- Communicate instructions and follow up on tasks
- Online Ordering: Manage online purchases and track deliveries.
- Office Attendance: Report to the office from 9:00 AM to 5:00 PM.
- Coordination: Assist with coordinating all appointments and activities assigned by the employer.
- Filing & Documentation: Maintain organized digital and physical files.
- Tech Usage: Efficiently use digital tools (calendar, email, messaging, online platforms) to ensure seamless operations.
- Collaboration: Work alongside another secretary who will handle complex tasks such as travel arrangements and special projects.
Qualifications
- Tech-savvy and comfortable with digital tools, apps, and online platforms
- Excellent communication and coordination skills
- Highly organized, reliable, and detail-oriented
- Ability to manage multiple tasks and adapt to changing priorities
- Strong interpersonal skills, especially in dealing with household staff and professionals
- Experience in administrative or executive support is an advantage
