Who We Need

We are seeking a highly organized and proactive Executive Partner to provide dedicated support to our client's executive team. The ideal candidate is detail-oriented, tech-savvy, and capable of managing multiple priorities in a fast-paced, remote environment. They should be comfortable leveraging digital tools and AI to optimize workflows, work independently with minimal supervision, and exercise a high level of discretion. Strong communication, time management, and problem-solving skills are essential for ensuring smooth operations and supporting the client effectively.

What You'll Do:

  • Calendar Management:Manage complex executive schedules, including meetings, appointments, and travel arrangements.
  • Communication Management:Handle emails, calls, and correspondence on behalf of executives, ensuring timely and professional responses.
  • Project Support:Assist with project coordination, including task tracking, documentation, and follow-ups.
  • Travel Arrangements:Coordinate domestic and international travel (flights, accommodations, and ground transportation).
  • Administrative Tasks:Manage expenses, prepare presentations, draft reports, and organize files.
  • Meeting Preparation:Prepare agendas, presentations, and other meeting materials.
  • Research & Information Gathering:Conduct research and compile information as requested by executives.
  • Recruitment Support:Assist with recruitment-related tasks such as scheduling interviews, coordinating candidate communication, and supporting hiring logistics.
  • Payroll Support:Assist with basic payroll-related tasks such as timesheet monitoring, tracking attendance, and coordinating payroll information with the appropriate teams.
  • Personal Support Tasks:Assist with occasional personal-related needs such as coordinating meals or handling simple logistical tasks, when required.
  • Other Duties:Perform additional administrative responsibilities as assigned.

What You Need:

  • Proven experience as an Executive Assistant or similar role (minimum of 2 years).
  • Excellent verbal and written communication skills, with aC1-level English proficiency.
  • Tech & Tools Proficiency:Comfortable using productivity and collaboration tools (e.g., Microsoft Office Suite, Google Workspace, Slack, Zoom, Calendly) and keen on leveraging technology, AI, and workflow automation to improve processes.
  • Strong organizational and time-management skills.
  • Ability to prioritize and meet deadlines in a fast-paced environment.
  • High level of discretion and confidentiality.
  • Ability to work independently and collaboratively.
  • Strong problem-solving and analytical skills.
  • Proficiency with digital communication tools (e.g., Slack, Zoom, Calendly).
  • Ability and willingness to work anight-shift schedule aligned with PST.
