We are hiring an Executive Operations Virtual Assistant for a growing restaurant equipment business. This role is the operational backbone of the company, supporting daily operations, customer service, order processing, vendor coordination, and administrative tasks.
You will work closely with the client to keep operations organized, ensure orders are processed smoothly, and support business growth.
We are looking for someone proactive, organized, confident in communication, and able to work independently with minimal supervision.

Key Responsibilities
1. Admin & Customer Service
- Manage emails, calls, and customer inquiries.
- Handle complaints and follow-ups professionally.
- Maintain clear communication and documentation.
2. Order Processing & Operations
- Receive and process retail and wholesale orders.
- Create packing slips and track shipments.
- Coordinate with distributors on pricing and availability.
- Monitor inventory and track payments.
- Maintain order logs and reports.
- Create and send purchase orders, quotes, and invoices.
- Track payments and unpaid invoices.
3. Sales & Vendor Coordination
- Support quotes, follow-ups, and negotiations.
- Source equipment and coordinate with suppliers.
- Assist with inventory tracking.
4. Store Management
- Monitor orders, form fill-ups, and inventory.
- Store maintenance and updates whenever necessary.
5. Marketing
- Handle social media accounts
- Create graphic content and promotional materials
- Create email marketing campaigns
Preferred Qualifications
- Strong customer service experience.
- Organized and detail-oriented.
- Confident communicator.
- Proactive and reliable.
- Experience with tools like Shopify, Ringover, or similar platforms is a plus.
