About The Role
This role is designed for a strong implementor who specializes in building operational systems from scratch, not simply executing tasks. The ideal Executive Operations Partner will take ownership of designing and deploying structured systems, workflows, and scalable operational frameworks that enable efficient execution and long-term organizational performance. This includes building processes, automations, and operational structures that drive consistency and reduce dependency on ad-hoc execution.
Responsibilities
Execution & Operational Leadership
- Translate strategic initiatives into actionable execution plans
- Ensure disciplined follow-through on priorities, deadlines, and deliverables
- Build and optimize systems to enhance executive productivity and operational clarity
- Serve as the execution engine behind high-level business initiatives
Executive Support at CEO/Chairman Level
- Provide high-caliber support to CEO/Chairman-level leadership
- Draft executive-grade written communications (internal and external)
- Manage priority triage with same-day turnaround on routine matters
- Prepare briefing documents, summaries, and strategic reports
Systems & Automation Optimization
- Design and manage AI-native workflows to improve efficiency
- Implement automation tools to reduce manual processes
- Continuously identify operational bottlenecks and deploy scalable solutions
Proactive Strategic Support
- Anticipate risks and operational gaps before they arise
- Support strategic decision-making through research, analysis, and structured recommendations
- Maintain a 24/7 coverage framework with formalized handover protocols
Competencies And Qualifications
Must-Have
- Minimum of 5+ years supporting CEO/Chairman-level executives
- Proven track record as a high-level implementor (strong execution and follow-through capability)
- Demonstrated expertise in systems building and workflow optimization
- Advanced experience leveraging AI tools and automation platforms such as ChatGPT, n8n, Make, Zapier, Notion AI
- Exceptional written communication skills (executive-grade standard)
- Strong prioritization and decision-making abilities
- Ability to deliver same-day turnaround on routine matters
- Highly proactive, structured, and solutions-oriented
