US Executive Assistant

Location: Cebu
Shift: 9:00PM - 6:00AM (Monday-Friday) PHT
Work Arrangement: Onsite

ABOUT THE ROLE:

Provide high-level executive support by managing calendars and communications, preparing and following up on meetings, coordinating projects and tasks, organizing documents and information, and streamlining operations to improve efficiency and free the partner to focus on strategic priorities.

KEY RESPONSIBILITIES:

  1. Calendar and Communication Management
  • Maintain the partner's calendar, schedule internal and external meetings, filter communication, and prepare daily/weekly agendas.
  • Meeting Preparation and Follow-Through
    • Prepare materials for calls and meetings, capture to-dos, track issues, and ensure follow-ups are completed on time.
  • Project and Task Coordination
    • Keep projects, commitments, and recurring processes organized. Follow up with team members until tasks are completed and issues are resolved.
  • Document and Information Management
    • Draft and organize documents, maintain files, update dashboards and spreadsheets, and ensure the partner has the right information at the right time.
  • Operational Support & Personal Efficiency
    • Anticipate needs, streamline workflows, manage travel and logistics, and reduce administrative load so the partner can focus on high-level work.

    QUALIFICATIONS:

    1. Executive-level support experience in a fast-paced professional services environment (CPA, legal, consulting preferred)
    2. Project coordination skills with demonstrated ability to manage multiple workstreams, deadlines, and follow-ups.
    3. Strong communication abilities including drafting emails, summarizing meetings, and preparing documents with high accuracy.
    4. Advanced proficiency in tools like Microsoft Office, Google Workspace, AI Agents, scheduling platforms, task management software, and virtual communication tools.
    5. Process-driven mindset ideally familiar with EOS or similar operating systems, with experience maintaining metrics, policies and procedures, and meeting cadences action plan
