We are seeking a highly organised and proactive Executive Assistant to support an executive CEO in a fast-paced environment. The ideal candidate will possess exceptional administrative skills and have experience in executive support, project coordination, and office management. This role requires a detail-oriented individual who can manage multiple tasks efficiently while maintaining professionalism and confidentiality.
Tasks
Executive Coordination
- Provide comprehensive executive administrative support to the CEO, including calendar management and scheduling appointments. You need to maintain the CEO's calendar, meetings, and follow-ups.
- Track open decisions, pending work, and deliverables.
- Manage communication on behalf of the Founder when required.
- Coordinate and plan events, meetings, and travel arrangements for the CEO and other executives as needed.
- Handle correspondence, including emails and phone calls, with professionalism and discretion.
- Maintain accurate records through data entry, filing, and documentation management using tools like Google Workspace and Microsoft Office.
- Prepare short daily briefs and summaries of ongoing matters.
Operational Bridge
- Serve as a point of contact for internal and external communications on behalf of the CEO.
- Act as the link between the Founder and teams (internal and external partners).
- Follow up on operations-related matters to ensure completion.
- Support project coordination efforts by tracking progress, deadlines, and deliverables.
- Coordinate with managers or team leads to relay updates, clarify instructions, or provide guidance.
- Handle progress reports from different departments and compile them into concise weekly updates.
Requirements
- Minimum 2 years of proven experience as an Executive Assistant or in other administrative roles with a focus on executive support.
- Strong organisational skills with the ability to prioritize tasks effectively in a dynamic environment.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
- Familiarity in Eventbrite
- Familiarity in Slack
- Excellent typing skills with attention to detail for data entry and documentation tasks.
- Strong communication skills with professional phone etiquette and interpersonal abilities.
- Experience with calendar management is essential.
- Ability to work independently while being a team player who contributes positively to office culture.
- Previous experience in event planning or project coordination is a must.
- Reliable internet and quiet workspace.
- Schedule: Monday to Friday
- Shift: Monday - Friday 5:00 PM 1:00 AM PHT
- Type: Full-time, Independent Contractor, remote (this must be your only job). No other employment or freelance projects.
