This is a remote position.

Virtual Rockstar is hiring a Senior Executive Assistant (CEO Support) on behalf of a US-based healthcare and telehealth organization.

This is a high-level Executive Assistant role designed to support the Chief Executive Officer in a fast-paced, executive environment. The Executive Assistant will act as a trusted right handmanaging complex travel, maintaining pristine inboxes and calendars, and ensuring executive priorities move forward seamlessly. This role requires exceptional judgment, discretion, and anticipation.

Responsibilities

Executive & Administrative Support

  • Manage the CEO's high-volume inbox, including prioritization, drafting responses, and flagging action items

  • Own complex calendar management across multiple time zones

  • Prepare daily and weekly executive briefings, agendas, and pre-read materials

  • Anticipate executive needs and proactively resolve issues before escalation

  • Maintain strict confidentiality when handling sensitive leadership information


Travel & Logistics Management

  • Coordinate frequent domestic and international travel, including multi-leg itineraries

  • Manage flights, accommodations, ground transportation, and detailed travel plans

  • Ensure seamless travel execution with minimal last-minute disruptions

  • Act as the point person for travel changes and urgent logistics


Meetings, Follow-Up & Execution

  • Join select executive meetings as needed

  • Track action items and decisions from meetings

  • Coordinate follow-ups across internal teams to ensure execution

  • Provide light project coordination to support leadership initiatives


Document & Information Management

  • Organize and maintain executive documents and shared drives

  • Ensure files, notes, and resources are easy to access and up to date

  • Maintain version control and structured documentation systems

Tools & Systems Used
  • Google Workspace

  • Slack

  • Google Calendar / Outlook

  • Travel platforms (e.g., Concur, Navan, or similar)



Requirements

  • 5+ years of experience supporting C-suite or founder-level executives

  • Proven expertise in heavy, complex travel coordination

  • Exceptional organizational and time-management skills

  • Strong written and verbal English communication skills

  • Calm under pressure with a proactive, solutions-oriented mindset

  • High level of discretion, judgment, and professionalism

  • Ability to anticipate needs and manage competing priorities effectively
