About the Role
We are looking for a highly organized, detail-oriented, and service-driven Executive Assistant to the CEO who thrives in a fast-paced environment and can anticipate needs before they arise. This role supports the CEO in day-to-day activities, operational workflows, and high-level engagements, working closely with the Sr. Executive Assistant to ensure seamless execution of priorities. The ideal candidate is a strong communicator, discreet, reliable, and capable of managing multiple responsibilities with professionalism.
Executive Support & Calendar Management
- Manage the CEO's daily calendar and schedule, in coordination with the Sr. Executive Assistant.
- Ensure appointments are properly arranged, confirmed, and prioritized.
- Provide the CEO with daily briefings and ensure readiness for all meetings and commitments.
- Anticipate conflicts and proactively provide solutions.
Day-to-Day CEO Support
- Attend to the CEO's daily needs such as coffee, meals, and on-hand assistance during office hours.
- Support CEO during internal and external engagements as needed.
Administrative & Financial Support
- Handle and process CEO reimbursements, credit card payments, and expense reports.
- Maintain a well-organized filing system for administrative and financial documents.
Executive Meeting Coordination
- Assist in coordinating executive-level meetings, including meal arrangements, coffee service, agenda preparation, and briefing material development.
- Ensure meeting rooms are properly set up and equipped.
