The Role
We are looking for a senior-level Executive Assistant to serve as the Managing Director's high-trust partner managing her professional calendar, communications, meetings, travel, and key projects, plus selected private-office matters (personal scheduling, records, and household administration).
This role suits an experienced EA who is exceptionally organized, discreet, and genuinely tech-savvy someone who embraces new tools, including AI assistants.
Key Responsibilities
Executive Support
- Calendar management — own the Managing Director's calendar across marketing, sales, finance, operations, and international partners; prioritize, resolve conflicts, and protect focus time.
- Email and communications — triage the inbox, flag priorities, draft and proofread correspondence, and liaise with internal teams, agencies, distributors, and regulators on the Managing Director's behalf.
- Meetings — prepare agendas and pre-reads, take minutes, and track follow-ups for brand reviews, strategy sessions, and management meetings.
- Projects — maintain trackers for major initiatives (campaigns, product launches, market entries); follow up with owners on deadlines and escalate risks early.
- Documents — produce polished decks, reports, and spreadsheets in Microsoft 365; ensure accuracy and professional quality.
Travel & Events
- Business travel — plan end-to-end domestic and international travel: flights, hotels, ground transport, visas, itineraries, and expense documentation.
- Events — support off-sites, conferences, dinners, and special occasions, including guest coordination and reservations
Private-Office Administration
- Personal calendar — manage selected personal scheduling and appointments, keeping business and personal calendars conflict-free
- Records and administration — maintain secure, well-organized records (documents, renewals, subscriptions, policies) and coordinate trusted service providers
- Confidentiality — handle all personal and family matters with absolute discretion, using secure, approved tools; a comprehensive NDA applies
What We're Looking For
- 5+ years as an Executive Assistant supporting a C-level executive, business owner; family-office or private-office experience is a strong advantage.
- Excellent written and spoken English; able to draft board-level correspondence. Filipino fluency is also preferred.
- Proven mastery of complex calendars, international travel logistics, and juggling multiple projects without dropping details.
- Truly computer-savvy: fluent in Microsoft 365 (Outlook, Excel, PowerPoint, Teams), cloud storage, and task-management tools — and quick to self-learn new software and AI tools (e.g., Copilot, ChatGPT, Claude) without waiting to be trained.
- High emotional intelligence, maturity, and calm under pressure; anticipates needs and thinks several steps ahead
- Impeccable discretion — treats confidentiality as non-negotiable
